What are Items and Services?
Learn how to add, manage, and organize items and services in Billed. Speed up invoice creation by saving your products and services for reuse.
Items and services are the products you sell and the work you perform for clients. In Billed, you can save a reusable catalog of items and services so you do not have to re-type descriptions, prices, and tax rules every time you create an invoice or estimate. Once an item is in your catalog, adding it to a document takes a single click.
This guide covers how to add, edit, sort, and delete items and services in Billed.
Why use an items and services catalog
Maintaining a catalog provides several benefits:
- Faster invoicing. Select a saved item instead of typing the name, description, and price from scratch each time.
- Consistent pricing. Every team member uses the same prices and descriptions, reducing errors and client confusion.
- Automatic tax calculation. Set a tax rate on an item once, and Billed applies it automatically whenever that item appears on an invoice or estimate.
- Inventory awareness. Track how often each item or service is billed so you can spot your highest-revenue offerings.
Add new items and services
- Go to "Settings" from the left sidebar menu.
- Select "Items and Services."
- Click the "Create New" button on the right side.
- Enter the details:
- Item Title — A short, clear name for the product or service (for example, "Logo Design" or "1-Hour Consultation").
- Sale Price — The price you charge your client.
- Purchase Price — Your cost for the item, if applicable. This helps you track profit margins.
- Tax — Toggle the "Taxable" switch to enable tax on this item. Choose between a fixed Amount or a Percentage. The tax you set here will be applied automatically when you add this item to an invoice or estimate.
- Description — An optional note that describes the item or service in more detail. This text can appear on invoices so your client understands exactly what they are paying for.
- Click "Submit" to save the item.
The new item now appears in your catalog and is ready to use on any invoice or estimate.
Sort your catalog
You can sort items and services by:
- Title — Alphabetical order makes it easy to scroll through a long list.
- Purchase Price — Useful when reviewing your costs.
- Unit Cost (Sale Price) — Helpful for quickly finding high-value or low-value offerings.
Click the column header to toggle between ascending and descending order.
Edit items and services
To update an existing item:
- Go to "Settings" > "Items & Services."
- Find the item you want to change.
- Click the three-dot menu next to the item and select "Edit."
- Make your changes — update the title, prices, tax settings, or description.
- Click "Update" to save.
Changes apply to future invoices only. Previously sent invoices keep the original details.
Delete items and services
To remove an item you no longer offer:
- Go to "Settings" > "Items & Services."
- Click the three-dot menu next to the item.
- Select "Delete."
Deleting an item removes it from the catalog. Existing invoices that already include the item are not affected.
Tips for organizing your catalog
- Use clear, specific names. "Website Redesign — 5 Pages" is better than "Project A." Clear names save time when searching and make invoices easier for clients to understand.
- Review prices regularly. Update your catalog whenever you raise rates so new invoices always reflect current pricing.
- Group related items. If you offer bundles (for example, "Brand Package — Logo + Business Cards + Letterhead"), save the bundle as a single item with a combined price.
- Remove outdated entries. Delete items you no longer sell to keep the catalog clean and reduce errors.
A well-organized items and services catalog makes creating invoices faster and helps you maintain professional, error-free billing across every client engagement.
