• Step 1: Start a New Expense
  • Step 2: Fill in the Expense

To create an expense in Billed, start a new expense from the dashboard, the Expenses section or a client's page, then add the merchant, purpose, date, amount and category, add the receipt, and save. If you'll bill the cost to a client, turn on Billable, choose the client, and add a markup if you want one.

Billed publishes this page. The steps and button names are quoted from Billed's help center articles How Do I Create an Expense? and How Do I Manage My Expenses? (both updated April 27, 2026) and from Billed's expense tracking page, all opened on October 30, 2026. For why and how to track expenses, see expense tracking for small business.

Step 1: Start a New Expense

Billed's help center gives three ways to start. The button names below are as the help center writes them:

  • From the dashboard: click Dashboard in the left menu, then the New button "at the top-right corner", and select Expense.
  • From your expenses: open Expenses from the left menu and use the New Expense button "at the top-right corner."
  • From a client: open Clients from the left menu, choose Create New, then Expense.

Each way opens the New Expense page. On a phone, Billed's mobile app page says you can "Create invoices, send estimates, log expenses, and accept payments from wherever you are."

Step 2: Fill in the Expense

The help center lists these details:

  • Merchant: click Merchant "to add a new or pre-existing merchant."
  • Purpose: "add the details about the purpose of this expense."
  • Date: "The date is today's date by default. Click on it to select a different date."
  • Expense Amount: "Click to write the total expense amount."
  • Select Expense Category: "Choose the most suitable expense category according to the nature of your expense." For choosing categories, see business expense categories.
  • Receipt Attachment: "Click to upload an expense receipt to maintain the proper expense record."

Billed's expense tracking page says an expense "records who you paid, when, how much and which category it belongs to, with the receipt attached to the same entry." It adds that you can "record expenses in more than one currency when you pay suppliers abroad."

Step 3: Make It Billable (Optional)

If the cost is one you'll pass on to a client:

  • Billable: turn on Billable, then "select an existing client to bill the expense."
  • Markup: turn on Markup, then "add a percentage of markup."
  • Total: "If you add a markup, you will see a grand total with the markup at the bottom of the expense."

Step 4: Save

Click the Save button. The help center says you can then view the expense in the Expenses section. It also says: "Expenses can be sorted by category, merchant, date, and total amount."

Edit, Duplicate or Delete an Expense

From Billed's help center article on managing expenses:

  • Edit: while viewing an expense, click the Edit button "at the top-right corner", change the details, then click Update "at the bottom of the expense to save the updated information."
  • More Actions: open the expense and click More Actions "at the top-right corner" for these options:
    • Mark Unpaid: "if it is an outstanding expense."
    • Duplicate: "to create a duplicate expense same as the original one."
    • Delete: deletes the expense, so it no longer appears in the Expenses section.

Sample: A Billable Expense With Markup

The business and figures here are a sample, invented for this example. A designer pays a print shop $240.00 for event flyers for a client, and will bill the client with a 10% markup:

  • Expense amount: $240.00
  • Markup: 10% × $240.00 = $24.00
  • Grand total with markup: $240.00 + $24.00 = $264.00

Before you bill it, check the grand total Billed shows at the bottom of the expense. For invoice layouts, see Billed's invoice templates. For reports on your expenses, see Billed's financial reporting page and types of expense reports.
