Invoicing for your personal trainer business

In the preview, start with the sessions: count the sessions a client had over the month onto one row, with the client and month named in the description and your session rate as the price. A fitness assessment or a written program is a separate charge, so each takes a row below the sessions.

One tax percentage can be added, and it is applied to the subtotal. Whether personal training is taxable where you work is worth confirming before you put in a rate.

Worked example, with sample figures: in June a client has 8 sessions at $70.00, 8 × $70.00 = $560.00, one fitness assessment at 1 × $60.00 = $60.00 and a written program at 1 × $80.00 = $80.00. The subtotal is $560.00 + $60.00 + $80.00 = $700.00 before tax.

Per-session versus package billing, monthly plans, travel to clients' homes and company sessions are covered in the personal trainer invoicing guide.

Why Billed fits personal trainer billing

  • Keep monthly clients billed without retyping: Billed's recurring invoices page says "Invoices are created automatically and sent to your customers according to your settings."
  • Split a package into payments: Billed's help center says "Clients can pay several installments against a single invoice."
  • Chase missed payments: Billed's help center says "You can set a schedule of payment reminders before and after the invoice's due date."

How the personal trainer invoice generator works

Three steps from blank page to a polished invoice your clients can pay with confidence.

  1. 1

    Count the sessions

The client and month go in the description; the session count and your rate per session fill the other two boxes.

  2. 2

    Add extras and tax

Assessments and written programs each get their own row. Leave the tax box blank unless training is taxable in your state.
