• Step 1: Add a Client
  • Step 2: Bring In Your Existing Client List

Clients are the people and businesses you bill. In Billed, each client has a profile that holds their contact details and lists their invoices, estimates, expenses and projects, so you can see what a client owes and what's still to be billed in one place.

Billed publishes this page. The steps and button names are quoted from Billed's help center article What Are Clients? (updated September 22, 2026) and from Billed's client management page, both opened on October 30, 2026. For the line items on an invoice, see how to create itemized invoices.

Step 1: Add a Client

Billed's help center gives three ways to add a client. The button names below are as the help center writes them:

  1. From the dashboard: click Dashboard in the left menu, press the New button "at the top-right corner of the screen" and select client.
  2. From your clients: open Clients from the left menu and use the Create Client button "at the top-right corner of the screen."
  3. From an invoice: on an invoice you're creating or editing, use Select Client and add the new client's details. "This new client will be added to the clients' section."

On the New Client page, the help center lists the client's full name or company name, Email Address, Phone Number, Contact Number (another number), Fax, and "Two address lines" for a personal or business address. Click Submit to save.

Billed's client management page says: "Billed lets you save each client's company name, contact person, email, phone number, billing address, and any custom notes."

Step 2: Bring In Your Existing Client List

If you're moving from another tool, Billed's client management page says: "Billed supports client imports so you can quickly onboard your existing client list without entering each contact manually."

Step 3: Find and Open a Client

Click Clients in the left menu and "Use the search bar to search the clients by their names." Click a client to open the profile. The help center says: "You can also view the invoices, estimates, expenses, and projects that belong to a particular client while viewing the client's profile." The client management page says: "Each client profile in Billed includes a complete history of invoices, estimates, and payments."

Step 4: Check What the Client Owes

The client's profile has an Outstanding Revenue section. Billed's help center lists:

  • Draft Invoices
  • Overdue Invoices: "Total balance of all the overdue invoices of a particular client is shown under the outstanding revenue section."
  • Unbilled Expense: "The outstanding revenue section shows the total unbilled expenses of the particular client."
  • Projects: "See the total projects that belong to a client while viewing the client's profile."

To mark an expense as billable to a client, see how do I create an expense.

Step 5: Edit, Delete or Create for a Client

  • Edit: while viewing a client, click the Edit button "at the top-right corner."
  • Delete: in the clients section, open the three-dot menu beside the client's name and choose Delete.
  • Create for this client: while viewing a client, click Create New "and select the relevant option. It will let you make new invoices, expenses, estimates, and projects for that client."

Step 6: Set Up Reminder Emails

Billed's help center article How to Customize Email Templates? (updated April 26, 2026) says to click Settings in the left menu, then Email Templates, and that "You can customize the subject and body of your email for your customers." The templates it lists include Invoice Reminder, Late Payment Reminder and Credit Note. To turn reminders on for an invoice, its article How to Send Payment Reminders? (updated April 27, 2026) says: "You can set a schedule of payment reminders before and after the invoice's due date." It adds: "You can send up to three reminders." For what to write, see how to write invoice payment reminders.

Sample: Reading One Client's Outstanding Revenue

The client and figures here are a sample, invented for this example. A designer opens a client's profile and sees:

  • Overdue invoices: INV-1042 for $1,200.00 and INV-1047 for $850.00, so $1,200.00 + $850.00 = $2,050.00 overdue
  • Unbilled expense: a $264.00 print order marked billable to this client (the sample on how do I create an expense)

The designer follows up on the $2,050.00 and plans to bill the $264.00, so $2,050.00 + $264.00 = $2,314.00 is either owed or still to be billed. See how to follow up on unpaid invoices.
