Billed

Web Development Invoice Template

Bill a website project by milestone and additional hours, pass through hosting, domain and license costs at cost, and apply the client's retainer, as an editable Word or Excel file or a blank PDF to print

No credit card required.

Quick answer:A web development invoice bills a stage of a website project. The template on this page lists fixed-fee milestones with their approval dates, additional hours at an hourly rate, and hosting, domain and software licenses passed through at cost in their own section, then the subtotal, a sales tax line on development services, the pass-through costs, the total, the retainer applied and the amount due, with the project and agreement references. It comes as a blank PDF form plus Word and Excel files with sample values; the Excel file calculates the lines, subtotals, tax, total and amount due. The page also covers change requests, how the file keeps pass-through costs out of the tax line, retainers, and ownership as a contract term.

The PDF is a blank invoice to print and fill in by hand. The Word and Excel files contain the sample details shown in the preview, ready for you to replace with your own. In the Excel file, each line amount is a formula: "Qty" × "Rate". The section subtotals, subtotal, tax, pass-through costs, total and amount due are formulas too. The amount due is the total minus the retainer applied. The tax rate sits in its own cell, so you can change it.

Web development project invoice

An invoice for a website project: fixed-fee milestones, additional hours at an hourly rate, hosting, domain and software licenses passed through at cost, a tax rate cell on development services, the retainer applied and the amount due.

A request for payment — shows the amount due

What a web development invoice bills

A web development invoice asks the client to pay for a stage of a website project: the milestones you've reached, any extra hours the client asked for, and the hosting, domain and software costs you paid on their behalf. Keeping those three kinds of charge apart is what makes the invoice easy for the client to check.

This template is for a project billed in stages. Other templates suit other arrangements:

What's on the web development project invoice

  • Developer and Invoice details: your business name, address and phone or email; the invoice number, invoice date, payment terms, due date and project number.
  • Bill to (client): the company, an "Attention" line, the address and an email.
  • Project: the project name, the site address and the agreement reference and date.
  • Milestones: each fixed-fee milestone with the date it was approved or completed, and a "Milestones subtotal".
  • Additional hours: extra work billed by the hour, with when it was requested or done, and an "Additional hours subtotal".
  • Hosting, domain and licenses, passed through at cost: the third-party costs you paid for the client, each with the provider.
  • Totals: "Subtotal", "Sales tax on development services, if applicable", "Hosting, domain and licenses, passed through at cost", "Total", "Less: retainer applied" and "Amount due".
  • How to pay and Billing notes: the methods you accept, placeholders for your account details, a payment reference, and notes on earlier invoices, how pass-through costs are billed and the retainer.

The sample bills an online store redesign. Milestone 2 (design approved, 3,000.00) and Milestone 3 (development and launch, 4,500.00) are billed with 10 additional hours at 95.00 (570.00 for extra page templates and 380.00 for product content migration), for a subtotal of 8,450.00. Sales tax on development services is 0% in the sample. Hosting, a domain renewal and a plugin license add 337.00 at cost, for a total of 8,787.00. A 1,500.00 retainer received on Sep 14, 2026 is applied, leaving 7,287.00 due by Dec 8, 2026 on Net 15 terms. Every name, rate and amount is a placeholder, not a market rate.

The PDF is a blank form to print and fill in. The Word and Excel files have the same layout with the sample values to type over.

Milestones or hours

Bill each part of the project the way your agreement prices it:

  • Milestones suit fixed-fee work with clear sign-off points, such as design approval or launch. Bill a milestone when it's reached, and put the approval or completion date in "Details", as the sample does with "Approved Oct 30, 2026". If an earlier milestone was billed separately, say so; the sample's note says Milestone 1 was billed on invoice WD-0901.
  • Hours suit work that can't be fixed in advance. Bill them under "Additional hours" at the rate in your agreement, with the dates or the request they relate to.

If you track your time in Billed, time tracking lets you create and export timesheets, and filter the time tracking report by date range, to back up the hours. See the guide to milestone invoicing for more on staging payments.

Change requests

Work the client asks for outside the agreed scope is easier to bill when it was agreed before you did it. Ask for change requests in writing, say whether they're billed by the hour or as a new fixed fee, and put the request date on the invoice line, as the sample does with "Requested Nov 4, 2026" next to "Extra page templates". See how to handle scope creep.

Hosting, domain and licenses, passed through at cost

Bill third-party costs you paid for the client at what you paid, in their own section, with the provider, registrar or vendor named. The sample's note says these costs are billed at cost, without markup, and that the renewals are in the client's name. Agreeing whose name the hosting, domain and license accounts are in is worth doing early, because it decides who controls them after the project.

In the template, these pass-through costs are added after the subtotal and the "Sales tax on development services, if applicable" line, so the tax line doesn't apply to them. That is how the file is built, not a tax rule: whether sales tax applies to web development services, hosting, domains or software licenses depends on where you and your client are, so check the rules where you work and adjust the lines if your situation differs.

Retainers: "Less: retainer applied"

If the client paid a retainer in advance, show the part you're applying on "Less: retainer applied", and say in the billing notes when it was received and how much is applied, as the sample does. The guide to deposit invoicing explains crediting advances on later invoices. This is different from a monthly retainer for ongoing work, which has its own retainer invoice.

Ownership and launch terms

Who owns the code, the design files and the content, and when ownership or a license passes to the client, are contract terms. Agree them in writing before the project starts; your agreement, not the invoice, sets them. If ownership is tied to payment, reference the agreement on the invoice, as the template's "Agreement" field does. For anything beyond that, take advice from a lawyer where you work. See freelance contract essentials for the clauses worth covering.

Payment terms

Print the payment terms and due date on every invoice, as the sample does with "Net 15" and Dec 8, 2026, and fill in the "How to pay" block. Charge a late fee only if the client agreed to it in advance, and check the rules where you work first.

How to fill in the template

  1. Enter your business details, the invoice number and date, the payment terms, the due date and the project number.
  2. Enter the client and the project: the project name, the site and the agreement reference.
  3. List the milestones reached, with their approval or completion dates, and any additional hours with the request or work dates.
  4. List hosting, domain and license costs at what you paid, with the provider.
  5. Type the retainer you're applying, if any, and set the sales tax rate if tax applies to your development services.
  6. Edit the billing notes and payment details, then send the invoice and keep a copy.

In the Excel file, each line amount is Qty × Rate. The section subtotals, the subtotal, the sales tax, the pass-through line, the total and the amount due are formulas. The sales tax rate sits in its own cell, starting at 0%, and applies to the subtotal of milestones and additional hours; the "Hosting, domain and licenses, passed through at cost" line adds up that section; "Total" is the subtotal plus tax plus the pass-through costs; and "Amount due" is the total less the retainer applied, which you type. To leave out the tax, set its rate to 0%; with no retainer, set "Less: retainer applied" to 0.00. Don't delete either row, because the totals refer to them. Each section has one blank row; to add more lines, insert a row above that blank row and copy the amount formula into it, then check that the totals include it. In Word or on the PDF, work out the amounts and enter them.
