Is this PDF estimate fillable?

No. The PDF has no form fields; it's a blank form to print and fill in by hand. To type the estimate, use the Word or Excel file, which have the same layout.

What's on the PDF estimate?

What paper size is the PDF?

A4. If you print on US Letter, check the scaling setting in your print dialog so the whole page fits.

How do I work out the totals on the PDF?

Multiply each line's quantity by its rate, add the amounts for the subtotal, then work out any sales tax on the subtotal and add it for the estimated total. The PDF doesn't calculate; the Excel file does.

How long should an estimate be valid?

As long as you're willing to hold the prices; it's your choice. Write the date on the Valid until line. The sample is valid for 30 days.

How is this different from the Word, Excel and Google estimates?

Use this page when you want an estimate you can print and write on: on a site visit, at a customer's kitchen table, or anywhere you'd rather not type. The PDF is a blank job estimate on one A4 page. It has no fillable fields, so you print it and fill it in by hand.

The estimate is titled JOB ESTIMATE and has these parts:

Filling in the PDF by hand

Print the page. It's sized for A4 paper, so if you print on US Letter, check the scaling setting in your print dialog so the whole page fits.
Write in your details, the estimate number, the date and how long the prices hold.
Write in the client and the job.
For each work item, write the quantity and your rate, then multiply them for the amount.
Add the amounts for the subtotal. If you charge sales tax, write the percentage, work out the tax on the subtotal and add it to get the estimated total.
Note anything the estimate doesn't include, then give it to the client to sign and date if they accept.

The PDF doesn't calculate anything; you work out the amounts yourself.

The Word and Excel files and the sample

The Word and Excel files have the same parts as the PDF, filled with a sample: estimate JE-0310 from a home services business, dated Nov 8, 2026 and valid until Dec 8, 2026, for replacing a bathroom vanity and faucet:

removing the old vanity and hauling it away, 1 at 120.00;
installing the new vanity and faucet, 4 hours at 75.00, 300.00;
a 30-inch vanity with top, 1 at 420.00.

That's a subtotal and estimated total of 840.00, with sales tax at 0%. The notes line is a placeholder: "[List anything not included, such as tile repair behind the old vanity.]" These figures only show how the form works; they aren't typical prices.

In the Excel file, each of the 12 lines has an amount formula (Qty × Rate, rounded to the cent), so the 9 empty lines fill in as you type. The subtotal, the sales tax (the subtotal × its rate cell, 0% in the sample) and the estimated total are formulas too. The file's tip says: to leave out the sales tax, set its rate to 0%, and don't delete these rows, because the totals refer to them. In the Word file the tax line shows its rate in the label ("(0%)"), so update it if you change the rate, and work out the amounts yourself.

"Valid until" is how long you'll hold the prices; the sample gives 30 days. Whether your work is taxable depends on where you work, so check the rules there before you set a rate.
