Key Features
Everything you need in a professional estimate template.
Blank, simple or hourly: pick by how you work
Service work usually starts with a customer describing a problem or a job at their home or business. How you price it depends on what you know when you write the estimate:
- You price on the spot, often by hand: use the blank form.
- You know the lines already and want the bill to match: use the simple estimate.
- You need to look at the problem first and charge for your time: use the hourly service-call estimate.
Blank: a fill-in form for pricing on site
The PDF estimate template prints as an empty form: your business and the customer at the top, the job, twelve work lines each with quantity, rate and amount, then tax, total, the date the price expires and room to sign. Fill it in at the customer's door and leave them a copy. Its DOCX and XLSX copies hold an example: replacing a bathroom vanity and faucet, with 120.00 to remove and haul away the old one, 4 hours of installation at 75.00 (300.00) and the new 30 in. vanity at 420.00, for 840.00. Use its notes line for anything outside the price, for example repairing the wall tiles behind the vanity being removed.

Simple: an estimate that becomes the bill
The estimate-to-invoice template is laid out so the lines the customer accepts are the lines you bill. Its example is a new tiled backsplash in a kitchen, roughly 32 sq ft. Labor is 4 hours of prep at 55.00 (220.00), 32 sq ft of tiling at 14.00 (448.00) and 3 hours of grouting and sealing at 55.00 (165.00), so 833.00; materials are 36 sq ft of tile at 4.25 (153.00) plus 92.00 of thinset, grout and trim, so 245.00. The estimate comes to 1,078.00 and proposes a 25% deposit of 269.50. Its notes explain how each part carries over: the same lines and prices, the estimate number quoted on the bill, any agreed change as a new line, and the deposit taken off the total once it's received.

Hourly: a service-call estimate after diagnosis
The service call estimate template is for work you can only price after looking at the problem. It starts with the service call and diagnosis, then labor hours at a rate, parts, and a trip fee. The example is a gas water heater whose pilot won't stay lit: a 95.00 service call covering the visit and first hour, 2 hours to replace the gas control valve and thermocouple at 110.00 (220.00), and the two parts at 185.00 and 24.00 (209.00), for 524.00. A 35.00 trip fee brings it to 559.00. Its sample terms say that a customer who declines the repair owes the visit charge and trip fee and nothing more.

For a punch list of household fixes, the home repair estimate template prices each repair by room, with hourly labor for open-ended items.
From the first call to the final bill
- Take the request. Note the customer's name, address and contact details, and what they say needs doing.
- See the job. Visit or diagnose, and write down what you found and any measurements.
- Write the estimate. Give it a number and date, list each line with its quantity or hours and rate, add the tax line, and state what's not included and the valid-until date.
- Get it accepted. Have the customer sign it with the date, and agree on any deposit before you order parts or book the work.
- Do the work, and log changes. If the customer asks for more, or you find something new, price it as an extra line and get it approved before doing it.
- Send the bill. Carry over the accepted lines and any approved extras, quote the estimate number, and take off any deposit already paid.
Billed's estimating software page (checked November 1, 2026) says you can "Share your online estimates with your clients via shareable public link." and describes "converting approved estimates into invoices with just a few clicks."
Getting the details right
- Name the problem in the customer's words. Write the request on the estimate as the customer described it.
- Separate labor, parts and materials. That shows the customer the price of each element, and you can bill parts at the prices you quoted.
- Say what's out. If you won't touch something nearby, such as tile behind a vanity, write it down.
- Set a valid-until date. Part prices and your schedule change, so give the customer a date after which you'd reprice.
- Leave the tax line to the facts. Every example shows sales tax at 0% on an "if applicable" line; enter your rate if your work is taxed, and ask your state's tax agency if you're unsure.
The files
- PDF: one page, empty, for completing on paper.
- DOCX and XLSX: the same estimate with the worked example entered, for you to change to your own job.

When this isn't for you
For a large project priced in phases, or a budget you're planning inside your own business, a project or budget estimate suits better than these service-work forms. They aren't lender, insurer or medical paperwork.
