Free Website Estimate Template

The sample is estimate WP-0623 from Example Web Studio LLC to Example Physical Therapy Group, dated Nov 7, 2026 and valid until Dec 7, 2026, for a new site with about 35 pages to migrate:

• Discovery: stakeholder interviews and sitemap, a fixed fee of 1,200.00.
• Design: the homepage and page templates, 5 templates at 450.00 per template, 2,250.00.
• Build: theme development, 60 hours at 95.00, 5,700.00, and contact and booking forms, 8 hours at 95.00, 760.00, for a build subtotal of 6,460.00.
• Content migration: moving the existing pages to the new site, 35 pages at 25.00 per page, 875.00.

The subtotal is 10,785.00. Sales tax is 0% in the sample, so the estimated total is 10,785.00, and the proposed deposit at 25% is 2,696.25. The rates only show how the form works; they aren't typical rates, so use your own.

These aren't priced lines. The sample's note says: "Hosting, the domain and plugin licenses are billed at cost when bought and are not included above: [list them]." List the ones the site will need, so the client knows they come on top of the estimated total.

• Proposed deposit: 25% of the estimated total in the sample, 2,696.25, with the rate in its own cell. It's a proposal shown on the estimate, not taken off the total. Once the client accepts, request it with a deposit invoice.
• Valid until: how long you'll hold these prices, 30 days in the sample. The footnote says "Prices are based on the scope above and are valid until the date shown." It's a business term, so pick a period that suits your schedule.
• Acceptance: someone signs for the client and prints their name and title, with the date.

In the Excel file:

• each amount is Qty × Rate, rounded to the cent, and each table has its own subtotal;
• the Discovery table has one line and no blank row; Design, Build and Content migration each have one blank row at the end. To add a line to one of them, insert a row above its blank row and copy the amount formula into it, then check that the subtotals include it;
• the Subtotal adds the four tables, "Sales tax, if applicable" and the Estimated total are formulas, and the Proposed deposit is the Estimated total × its rate cell.

The file's tip says: "To leave out "Sales tax, if applicable" or "Proposed deposit", set the line's rate to 0%. Don't delete these rows: the totals refer to them."

In the Word file, the amounts are typed, not calculated, so retype them when you change a figure. The PDF is a blank form on two A4 pages, with blanks for the tax and deposit rates; the acceptance lines and footnote are on page 2. If you print on US Letter, check the scaling setting in your print dialog. We haven't tested the files in Excel, Word or on a printer.

• Before the project: send this estimate and get the client's acceptance.
• To book the work: request the proposed deposit with a deposit invoice.
• As the work is done: bill it with the web design or web development invoice, and take off what the client has already paid.
