English Invoice Template for International Clients

An invoice in English for billing a client in another country, with both parties' countries and tax IDs, the invoice currency and international bank details, in PDF, Word and Excel

No credit card required.

Quick answer:An English-language invoice bills a client in another country. This template has the seller's and the buyer's countries and tax ID lines (an EIN and a VAT ID in the sample), and states the invoice currency. It lists services in that currency, then a tax line that starts at 0%, the amount due and international bank details as placeholders: IBAN or account number, SWIFT/BIC and a US routing number. VAT and other tax rules depend on the countries involved, so check with the tax authority there. This page has one English-language invoice as a blank PDF plus Word and Excel files with a sample.

English-language invoice for international clients

An invoice in English for a client in another country: seller and buyer with their countries and tax ID placeholders, the invoice currency, line items in that currency, a tax rate cell, international bank details as placeholders and the amount due.

A request for payment — shows the amount due

What an English-language invoice is for

Use this template when you bill a client in another country and English is the language you both do business in. It's set up for that:

  • the seller and the buyer each have a country line and a tax ID line;
  • the invoice states its currency;
  • the payment details have space for international bank transfers.

The sample is a US content studio billing a company in Germany for English copywriting.

If the buyer's country, or your own, has rules about invoice language or content for tax purposes, those rules decide what the invoice must show. This template doesn't make an invoice meet them by itself; see "Tax ID numbers and VAT" below.

What's on the invoice

  • Seller: business name, address, country, "Tax ID (EIN)" and email

  • Invoice details: invoice number, invoice date, payment terms, due date, "Currency" and "Buyer's PO no."

  • Bill to (buyer): company, address, country, "VAT ID" and contact

  • Services: description, quantity, unit, "Unit price (USD)" and "Amount (USD)"

  • Totals: "Subtotal", "Tax, if applicable" with a rate cell that starts at 0%, and "Amount due"

  • Payment details:

    • account name;
    • bank name and address;
    • "Account no. or IBAN";
    • "SWIFT/BIC";
    • "ABA routing no. (US transfers)";
    • payment reference.

    All of these are placeholders for your own details.

  • Payment notes: the currency, who pays transfer fees, and the payment reference

The sample bills three services in US dollars:

  • brand guidelines for 2,800.00;
  • 12 website pages at 180.00 for 2,160.00;
  • 6 hours of editing and proofreading at 75.00 for 450.00.

That's a subtotal and amount due of 5,410.00, with tax at 0% and Net 30 terms.

Choosing the invoice currency

Agree the currency with the client before you start, and put the same three-letter code everywhere: the "Currency" line, the column headings and the payment note. The sample uses USD throughout.

  • Invoicing in your own currency means you know exactly what you'll receive, and the client takes the exchange-rate risk.
  • Invoicing in the client's currency can make it easier for them to pay, but what you receive depends on the exchange rate when the money is converted, and on any conversion fees.

If you agree a price in one currency and invoice in another, say in your agreement which exchange rate you'll use and on which date.

International transfers can carry fees at the sending bank, the receiving bank and banks in between. Agree who pays them, and say so on the invoice. The sample note reads "Transfer fees: [as agreed, for example each party pays its own bank's fees]" in the Word and Excel files. Otherwise, the amount that arrives may be less than the amount due.

Tax ID numbers and VAT

The tax ID lines are placeholders. Fill in the numbers that apply to you and your client, and leave out any that don't.

  • Your tax ID. The sample seller is a US business, so the line is "Tax ID (EIN)". The IRS describes an Employer Identification Number as "a federal tax ID number for businesses, tax-exempt organizations and other entities". If you're registered for VAT or GST somewhere, use that number instead and change the label.
  • The buyer's VAT ID. Ask business clients in VAT countries for their VAT identification number, and put it on the "VAT ID" line.

Selling services to a business in the EU. The European Commission says that for services supplied to a business, "the place of taxation is the place where the customer is established". Its page on EU VAT invoicing rules lists what a VAT invoice must contain. That list includes the "Customer's VAT identification number (if the customer is liable for tax on the transaction)" and, where the customer is liable under the reverse-charge procedure, "the words 'reverse charge'".

Whether that applies to your sale, and whether you need to register for VAT in the EU, depends on what you sell and to whom. Check with the tax authority in the buyer's country or a tax adviser. The sample's "Tax, if applicable" line at 0% is a placeholder, not a statement that the sale is free of VAT.

If you're VAT-registered in the UK. HMRC's VAT Notice 700/21, section 4.1, lists the details a VAT invoice must show, including:

  • the supplier's VAT registration number;
  • the time of the supply;
  • the rate of VAT for each description;
  • the unit price;
  • the total VAT.

It says the amounts excluding VAT can be "expressed in any currency", but "the total amount of VAT chargeable" must be "expressed in sterling". This template doesn't have all of those fields, so add the missing ones before you use it as a UK VAT invoice.

For other countries' VAT, GST or sales tax rules, check with the tax authority there.

Bank details for international payments

  • SWIFT/BIC. The code that identifies your bank in an international transfer.
  • Account no. or IBAN. Give your IBAN if your bank account has one; US bank accounts use an account number instead.
  • ABA routing no. (US transfers). For clients paying a US account from inside the US.

Fill these in from your bank's own instructions for receiving international payments, because your bank may route foreign transfers through an intermediary bank. Put the invoice number in the payment reference so you can match the payment when it arrives.

Send bank details only through a channel the client already knows is yours. If they ever change, confirm the change by phone or another channel you've already used with the client, not just by email.

Writing the invoice in English

  • Dates. Write the month as a word, as the sample does ("Nov 10, 2026"). Numeric dates read differently in different places: 10/11/2026 is October 11 in the US and 10 November in the UK.
  • Spelling. US and UK spelling differ in words such as "labor" and "labour" or "license" and "licence". Either is correct; pick one and use it throughout. This template uses US spelling.
  • Descriptions. Describe each service in plain words a reader working in a second language can follow, and avoid abbreviations your client may not know.

How to fill in the template

  1. Add your business details, your country and your tax ID, changing the label if it isn't an EIN.
  2. Fill in the invoice number, invoice date, payment terms, due date, the currency and any PO number the buyer gave you.
  3. Under "Bill to (buyer)", enter the company, its address and country, its VAT ID if it has one, and a contact.
  4. List the services with quantity, unit and unit price in the invoice currency. If it isn't USD, change "(USD)" in the two column headings and the payment note.
  5. Set the tax rate if tax applies, or leave it at 0%.
  6. Fill in the payment details from your bank's instructions, agree who pays transfer fees, and send the invoice.

The PDF is a blank form for filling in by hand. Its price columns are printed as "Unit price (USD)" and "Amount (USD)", so for another currency use the Word or Excel file, where you can change the headings. The Word and Excel files have the same layout with the sample filled in, for you to overwrite.

In the Excel file:

  • each line amount is quantity × unit price;
  • the subtotal, tax and amount due are formulas, and the tax rate has its own cell;
  • to leave tax out, set the rate to 0% instead of deleting the row, because the totals refer to it;
  • the services table has five rows. For more, insert rows inside the table and copy the amount formula into them so the subtotal includes them.

In Word or on the PDF, work out the amounts yourself.

For a general layout, see the invoice templates for Word, for Excel, as a PDF, for Google Docs and for Google Sheets.
