Locksmith Invoice Template

A locksmith invoice for a finished call, with an after-hours service call fee, lockout, rekey and lock installation work, lock hardware and parts, keys cut at a price per key, a sales tax rate and the amount due, as a blank PDF form plus Word and Excel files

No credit card required.

Quick answer:A locksmith invoice bills a customer for a completed call. The template on this page has the locksmith's details with a license number line; the invoice number, date, payment terms and due date; the customer under "Bill to"; a "Service call" block with the service address, arrival time, what the customer's right to access was checked against ("Occupancy verified with") and the technician; and three priced tables: the service call fee, locksmith services (such as a lockout, rekeying per cylinder and a lock installation) and parts and keys (lock hardware, rekey pins and keys cut at a price per key). The totals are a subtotal, sales tax if it applies and the amount due, followed by how to pay and service notes. It comes as a blank PDF form plus Word and Excel files with a sample evening house call. Whether a locksmith needs a license depends on where they work: in California, the Bureau of Security and Investigative Services licenses locksmith companies.

Locksmith service invoice

An invoice for a locksmith call: an after-hours service call fee, lockout, rekey and lock installation work, lock hardware and parts, keys cut at a price per key, a tax rate cell and the amount due.

A request for payment — shows the amount due

What a locksmith invoice covers

A locksmith invoice bills a customer for a finished call: where and when you went out, the service call fee, each job you did, the hardware you fitted and the keys you cut. It ends with the amount due, payment terms and a due date. The sample's terms are "Due on completion", so the customer pays before you leave.

What's on the locksmith invoice

  • Locksmith: business name, address, phone or email, and a "License no." line with the placeholder "[License no., if required where you work]"
  • Invoice details: invoice number, invoice date, payment terms and due date
  • Bill to (customer): name, address, and phone or email
  • Service call (details): service address, arrival time, "Occupancy verified with" and the technician
  • Service call (table): the call-out fee as a priced line, with a "Service call subtotal"
  • Locksmith services: each job, such as a lockout, a rekey or a lock installation, with a "Services subtotal"
  • Parts and keys: lock hardware, rekey pins and keys cut, with a "Parts and keys subtotal"
  • Totals: subtotal, "Sales tax, if applicable" with its rate, and the amount due
  • How to pay: accepted methods, account name, bank details and a payment reference, with placeholders for your own details
  • Service notes: your after-hours terms and anything the customer should know about the work

Two parts of the invoice share the heading "Service call". The first is a block of details about the visit; the second is the table that prices the call-out fee.

The sample is an evening house call, with the locksmith arriving at 9:40 p.m. It bills:

  • an after-hours service call fee of 95.00;
  • a home lockout, opened without damage, at 85.00;
  • rekeying 3 cylinders (front deadbolt, front knob and garage door) at 25.00 each, 75.00;
  • installing a new deadbolt on the back door at 65.00;
  • the deadbolt itself at 48.00, 3 rekey pin sets at 4.50 (13.50) and 4 keys cut at 3.50 (14.00).

The services come to 225.00 and the parts and keys to 75.50. With the 95.00 call fee, the subtotal is 395.50, and with sales tax at 0% the amount due is 395.50.

Service call and after-hours fees

The call-out fee has its own table, so the customer can see what the visit cost before any work was done. The sample's line is "After-hours service call", with the arrival time in "Details". The first service note says when the after-hours fee applies; it's marked "Sample terms" (calls between 7:00 p.m. and 7:00 a.m.), so replace it with your own hours and fees, or remove it if you don't charge one.

If you charge a different fee for daytime calls, a holiday rate or mileage, add each as its own line in the service call table. Tell the customer what the call will cost when they phone, so the invoice matches what they agreed to.

Lockouts, rekeying and installs

Give each job its own line in the locksmith services table, with a unit that shows how you priced it: the sample uses "job" for the lockout, "cylinder" for rekeying and "lock" for the installation. Use "Details" to say which door or lock, as the sample does ("Front deadbolt, front knob, garage door"). If you rekey several locks to one key, the second service note is a good place to say so, as the sample does: "All 4 new keys work the front deadbolt, front knob and garage door."

Parts and keys

List the hardware you supplied with enough description to identify it later: type and finish, such as "Deadbolt, single cylinder, satin nickel". Rekey pins go in at a quantity per cylinder, and keys cut are a quantity × your price per key (4 × 3.50 in the sample). If the customer brought their own lock, leave it off the parts table and describe the installation in the services table.

Checking the customer's right to access

Before you open a home, a car or a business for someone, confirm that they have the right to get in. The "Occupancy verified with" field records what you checked. Its placeholder is "[ID or document type]": write the kind of document you saw, such as a driver's license showing the address, a lease or a vehicle registration, rather than copying its number onto the invoice.

Decide your policy in advance: what you'll accept as proof, and what you'll do if the customer can't show it. Check whether the rules where you work set requirements for this.

Locksmith licensing

In California, the Bureau of Security and Investigative Services' locksmith fact sheet says:

  • a locksmith operates a business that installs, repairs, opens or modifies locks, or that originates keys for locks; an individual who only duplicates existing keys is not considered a locksmith
  • a locksmith company needs a license, and each applicant, partner or officer goes through a criminal history background check
  • locksmith employees register with the Bureau
  • if the company does work at a single site that exceeds $500, a contractor's license is also required (C-28, C-61 or D-16), and local government may require a business permit

The Contractors State License Board gives a newer figure for minor work: starting January 1, 2025, Assembly Bill 2622 "increases the minor work license exemption from $500 to $1,000, but there is a catch: the work cannot require a permit, and the unlicensed person cannot employ anyone for the project" (CSLB Industry Bulletin #24-07). Check with CSLB for the threshold that applies before relying on the $500 figure.

If you're licensed, put the number on the "License no." line. Outside California, check the rules where you work.

Sales tax

The "Sales tax, if applicable" line has a rate that starts at 0% in the Excel file. It applies to the whole subtotal: the service call, the services, and the parts and keys. Whether locksmith labor, hardware or keys are taxable depends on where you work, so check with the tax agency there, set the rate, and change the formula if only some lines are taxable.

How to fill in the template

  1. Add your business details and, if you have one, your license number.
  2. Enter the invoice number, invoice date, payment terms and due date.
  3. Fill in the customer, then the service call details: the service address, your arrival time, what you checked the customer's right to access against, and the technician.
  4. Enter the call-out fee in the service call table.
  5. Add each job to the locksmith services table, and each part and key to the parts and keys table.
  6. Set the sales tax rate, or leave it at 0%.
  7. Replace the placeholders in "How to pay" with your own details, and edit the service notes, including your own after-hours terms, then send or print the invoice.

The PDF is a blank form for filling in by hand on the call. The Word and Excel files have the same layout with the evening call filled in, for you to overwrite.

In the Excel file, each line's amount is "Qty" × "Rate", and the table subtotals, the subtotal, the tax and the amount due are formulas. To leave out sales tax, set its rate to 0% instead of deleting the row, because the totals refer to it. The service call table has one row, and the services and parts and keys tables each have one empty row after the sample lines. To add a line, insert a row above the last item row in that table and copy the amount formula into it, then check that the table subtotal and the overall subtotal include it. In Word or on the PDF, work out the amounts yourself.

For a general layout rather than a locksmith one, see the invoice templates for Word, for Excel, as a PDF, for Google Docs and for Google Sheets.
