Car Sale Receipt Template

A receipt for a private car sale that records the vehicle, its VIN and odometer reading, the price, any deposit, how it was paid and both signatures, as a blank PDF form or an editable Word or Excel file

No credit card required.

Quick answer:A car sale receipt confirms that the buyer of a vehicle paid the seller. This page has one vehicle sale receipt for a private sale, as a blank print-and-fill PDF plus Word and Excel files with sample values. It records the seller and buyer; the vehicle's year, make, model, VIN, odometer reading, color and license plate; the items included and any warranty or condition terms as agreed; the sale price, deposit received earlier, amount paid today and a balance of 0.00; the payment method, reference and date; and signatures, printed names and dates for both parties. It proves payment only: ownership is transferred on the title and any forms your state's motor vehicle agency requires, and in the US a seller who is the titled owner makes the federal odometer disclosure on the title, not on a receipt.

Vehicle sale receipt

A receipt for a vehicle sold from one person to another: seller, buyer, the vehicle's year, make, model, VIN and odometer reading, the sale price, the deposit and the final payment with method and reference, and signature lines for both.

Confirms a payment received

What a car sale receipt proves, and what it doesn't

When you sell a car privately, three different documents can be involved, and each does a different job:

  • The receipt confirms that the buyer paid the seller: how much, when and how. That is what the template on this page is for.
  • A bill of sale records the sale itself: who sold which vehicle to whom, on what date and for what price. Check whether your state's motor vehicle agency has its own bill of sale form or asks for one.
  • The title is where ownership changes hands. The seller signs it over to the buyer, who then applies for a new title and registration in their state.

A receipt does not replace the title transfer or any form your state asks for, even when both of you have signed it. The template says so in its footnote: it is not a certificate of title, and transferring the title is a separate step. Before the sale, check with your state's motor vehicle agency (DMV) which documents it needs from the seller and the buyer. Keep the signed receipt with copies of them.

What goes on the receipt

Seller and receipt details. The seller's name, address and phone or email, then a receipt number and date.

Buyer. The buyer's name, address and phone or email. Use the names as they will appear on the title.

Vehicle. Year, make and model; the vehicle identification number (VIN); the odometer reading; the color; and the license plate. Copy the VIN from the title and check it against the VIN on the car itself. If they don't match, stop and find out why before any money changes hands.

Sale terms. "Items included" lists what goes with the car, such as spare keys, the owner's manual or a set of floor mats. "Warranty or condition terms (as agreed)" is where you write, in plain words, whatever the two of you agreed about the car's condition or any warranty. Leave it blank rather than adding terms you didn't agree to. The next sections cover the odometer and "as is" wording.

Price and payment. The sale price, then any deposit the buyer paid earlier, the amount paid today and the balance after this payment, which should be 0.00. Under "Payment", record the payment method, a reference you can both check later (such as the cashier's check number or the bank transfer reference), the date received and how and when the deposit was paid.

Signatures. The seller and the buyer each sign and add their printed name and the date. Each of you keeps a signed copy.

In the sample, a car sold for 7,800.00 had a 500.00 cash deposit paid on Nov 1, and the buyer paid the remaining 7,300.00 by cashier's check on Nov 7, leaving a balance of 0.00.

Odometer reading vs the federal odometer disclosure

In the US, federal rules require the seller of a motor vehicle to disclose its mileage when ownership is transferred. Under 49 CFR 580.5, a seller in whose name the vehicle is titled makes that disclosure on the physical or electronic title, not on a reassignment document, and signs it. If the seller is not the titled owner, the rule also allows the disclosure on the physical document being used to reassign the title. The disclosure gives the odometer reading, the date of transfer, both parties' printed names and addresses, and the vehicle's make, model, year, body type and VIN. The seller also certifies, to the best of their knowledge, whether the reading reflects the actual mileage.

The odometer reading on this receipt is a useful record, but it is not that disclosure. Complete the odometer section of the title as well.

49 CFR 580.17 lists the vehicles that are exempt. They include:

  • vehicles with a gross vehicle weight rating over 16,000 pounds;
  • vehicles that are not self-propelled;
  • vehicles from model year 2010 or earlier, once they are transferred at least 10 years after January 1 of their model year;
  • vehicles from model year 2011 or later, once they are transferred at least 20 years after January 1 of their model year. The regulation's own example: for transfers during 2031, model year 2011 and older vehicles are exempt.

Ask your state's motor vehicle agency how it handles the odometer section and whether it has any forms of its own.

"As is" sales: dealers and private sellers

The FTC's Used Car Rule, which requires a Buyers Guide on used cars offered for sale, applies to dealers. 16 CFR 455.1 defines a dealer as a person or business that sells or offers a used vehicle for sale after selling or offering five or more used vehicles in the previous twelve months. The "As Is—No Dealer Warranty" box on a Buyers Guide is a dealer's disclosure under that rule.

For a private sale, what "as is" means, and whether any implied warranty applies, depends on your state's law, so check your state's rules before you rely on the phrase. On the receipt:

  • In "Warranty or condition terms (as agreed)", record only what the two of you actually agreed on, in plain words.
  • If the seller promised something, such as a repair before handover, write it down. Don't rely on a spoken promise.
  • Don't use the receipt to add terms that weren't part of the deal.

Payment, loans and installments

Payment method. Write down exactly how the money was paid and the reference that goes with it, so the buyer can show the payment and the seller can match it to their bank account. If the payment is a check or a transfer, the seller may want to confirm the money has arrived before handing over the signed title and the keys.

A deposit. If the buyer paid a deposit to hold the car, give them a receipt for it at the time. On this receipt, enter it on the "Deposit received earlier" line and note how and when it was paid, so the amount paid today plus the deposit equals the sale price.

A loan on the car. If the seller still owes money on the car, contact the lender before the sale about paying it off and releasing its interest in the vehicle. Your state's motor vehicle agency can tell you what it needs to transfer the title in that case.

Installments. This template records a sale that is paid in full, with a balance of 0.00. If the buyer is paying over time, give a partial payment receipt for each payment, showing the balance remaining, and keep the title and sale terms in line with what you agreed on.

How to fill it in

  1. With the title in front of you, enter the seller's and buyer's details and the receipt number and date.
  2. Copy the year, make, model and VIN from the title, check the VIN against the car, and add the color and license plate.
  3. Read the odometer together and write the reading on the receipt and in the title's odometer section.
  4. List the items included and write any agreed warranty or condition terms.
  5. Enter the sale price, any deposit received earlier, the amount paid today and the balance after this payment.
  6. Fill in the payment method, the payment reference, the date received and the deposit details.
  7. Both of you sign and add your printed names and the date, and each keeps a copy with the title and any state forms.

The PDF is a blank form to print and fill in by hand at the handover. The Word and Excel files have the same layout with sample values for you to overwrite. In the Excel file, the sale price and the balance are formulas: the balance is the sale price minus the deposit and the amount paid today, so it shows 0.00 when the payments add up to the price. If there was no deposit, set it to 0.00 rather than deleting the row.

When this isn't for you

This receipt records payment for a vehicle. It does not transfer ownership: that happens on the title and any forms your state's motor vehicle agency requires. If the buyer is paying in installments, use a partial payment receipt for each payment instead of marking the sale paid. If you sell cars as a dealer, use the car dealer invoice and the paperwork your state and the FTC Used Car Rule require.
