The PDF is a blank invoice to print and fill in by hand. The Word and Excel files contain the sample details shown in the preview, ready for you to replace with your own. In the Excel file, each line amount is a formula: "Qty" × "Rate". The section subtotals, subtotal, tax, total and amount due are formulas too. The amount due is the total minus the deposit received. The tax rate sits in its own cell, so you can change it.

Handyman service invoice

An invoice for completed handyman work: tasks at a per-task price, labor by the hour, materials, a trip fee, a tax rate cell on materials, the deposit received and the amount due.

A request for payment — shows the amount due

What's on the handyman invoice

The handyman service invoice bills a client for work you've finished. It has:

  • Handyman: your Business name, Address, Phone / email and License no. The sample reads "[License no., if required where you work]".
  • Invoice details: Invoice no., Invoice date, Payment terms, Due date and Work dates.
  • Bill to (client): Client name, Address and Phone / email.
  • Three priced sections: Completed tasks, Labor and Materials. Each has the columns Item, Details, Qty, Unit, Rate and Amount, and its own subtotal.
  • Totals: Subtotal, Trip fee, Sales tax on materials, if applicable, Total, Less: deposit received and Amount due.
  • How to pay: accepted methods, placeholders for your account name and bank details, and the payment reference to quote.
  • Job notes, such as when the deposit was received and when the work was finished.

It comes as three files:

  • PDF: a blank form to print and fill in by hand.
  • Word (.docx) and Excel (.xlsx): the same layout filled with sample details. Overwrite them with your own.

In the Excel file:

  • Each line amount is Qty × Rate.
  • The three section subtotals, the Subtotal, the sales tax, the Total and the Amount due are formulas.
  • The sales tax applies only to the Materials section, at a rate cell you can change (0% in the sample).
  • You type the trip fee and the deposit received yourself.

The sample works out like this:

  • 265.00 for completed tasks;
  • 300.00 for labor;
  • 202.00 for materials;
  • a Subtotal of 767.00, plus a 45.00 trip fee, for a Total of 812.00;
  • less a 150.00 deposit, leaving 662.00 due by Nov 16, 2026 on Net 7 terms.

The sample prices only show how the form works. They aren't typical rates, so use your own.

Completed tasks, labor and materials

Split the work the way you priced it:

  • Completed tasks are jobs at a set price, such as "Replace the toilet fill valve and flapper" at 95.00 or "Install a grab bar" at 85.00. Use Details for where you did the job, such as "Hall bathroom" or "Kitchen".
  • Labor is hourly work, priced as hours × rate. Examples: "Adjust cabinet doors and replace hinges", 1.5 hours at 75.00, and "Replace damaged deck boards", 2.5 hours at 75.00.
  • Materials are the parts you supplied, one line each, such as "Soft-close cabinet hinges", 4 at 6.25, or six deck boards at 18.50.

Fill in the Work dates ("Nov 7-8, 2026" in the sample), so the client can match the invoice to the visit. If you also bill a minimum charge or a call-out fee, put it on its own line, or on the Trip fee line, and make sure the client knew about it before you came.

Sales tax on materials

The invoice's tax line is "Sales tax on materials, if applicable". It applies the rate to the Materials section only, not to tasks, labor or the trip fee. Whether labor, materials or trip fees are taxable depends on your state and local rules, so check with your tax agency before you set a rate.

If labor or the trip fee is taxable where you work, this tax line won't cover it. Change the formula, or use an invoice that taxes the whole subtotal.

The handyman estimate applies its "Sales tax, if applicable" line to the subtotal plus the trip fee. If you use both templates, make sure they treat tax the same way for your work.

Deposits

If the client paid a deposit, enter it on Less: deposit received. It comes after the Total, so the Amount due shows what's left. Say in the job notes when you received it. The sample reads: "Deposit of 150.00 received on Nov 3, 2026, for materials."

Whether you take a deposit, how much, and whether it's refundable are your terms, and the rules on deposits can depend on where you work, so check them. To ask for a deposit with its own document before you start, send a deposit invoice.

Bill what you did, not what you estimated

If you gave the client an estimate first, the invoice should show the work you actually did, which may differ from what you estimated:

  • Leave off jobs the client dropped.
  • Add any extra work the client approved along the way.
  • Bill hourly jobs for the hours worked.

The sample invoice is shorter than the sample estimate because it covers only the jobs that were done. Add the estimate number to your job notes, so the client can compare the two. In Billed's estimating software, which publishes this page, you can convert an approved estimate into an invoice instead of retyping it.

Before you start, check whether the job needs a licensed contractor where you work. In California, for example, the Contractors State License Board treats bids over $1,000, work that needs a permit, and jobs where you employ workers as needing a license. See the handyman estimate page for the details and source.

Recurring maintenance and getting paid

  • Regular maintenance visits. If a client books you for the same work on a schedule, Billed can send recurring invoices daily, weekly, monthly or yearly.
  • Payment. Set the Payment terms and Due date to match what you agreed. When the client pays, you can give them a handyman receipt, or see all receipt templates.
