What this painting invoice is for

This template bills a client for a finished painting job: each room or surface by its area at a price per square foot, doors and trim, any extra prep or repairs the client approved during the job, and the paint and materials, less the deposit received. It's the invoice that follows the painting estimate: the sample bills the job quoted on estimate PT-0829, with the same lines, plus one repair approved on site.

The painting invoice has:

  • Painting contractor: business name, address, phone or email, and a "License no." field labeled "[License no., if required where you work]".
  • Invoice details: invoice no., invoice date, payment terms, due date and quote no.
  • Bill to (client): client name, address, and phone or email.
  • Job: property, work dates and colors.
  • Interior labor, by room and Exterior labor, by surface: tables with Item, Details, Qty, Unit, Rate and Amount, with an "Interior subtotal" and an "Exterior subtotal".
  • Additional prep and repairs: the same columns, with an "Additional work subtotal".
  • Paint and materials: the same columns, with a "Materials subtotal".
  • Totals: Subtotal, "Sales tax, if applicable", Total, "Less: deposit received" and Amount due.
  • How to pay: accepted methods, account name, bank details and a payment reference.
  • Job notes on the quote, the approved repair and the deposit.

The sample invoice

The sample is invoice PT-1218 from Example Painting Co. to Riley Example, for interior and exterior painting at 58 Sample Avenue from Nov 16 to Nov 21, 2026. It's dated Nov 24, 2026 on Net 15 terms, due Dec 9, 2026, and refers to quote no. PT-0829.

  • Interior labor: living room walls (480 sq ft at 1.25 = 600.00), living room ceiling (300 sq ft at 0.95 = 285.00), kitchen walls (260 sq ft at 1.35 = 351.00), primary bedroom walls (420 sq ft at 1.25 = 525.00) and 9 interior doors with trim at 85.00 (765.00), for an interior subtotal of 2,526.00.
  • Exterior labor: siding on all sides (2,400 sq ft at 1.60 = 3,840.00), trim and fascia (380 lin ft at 2.40 = 912.00) and the front door at 150.00, for an exterior subtotal of 4,902.00.
  • Additional prep and repairs: replacing a rotted fascia board, 2 hours at 65.00 (130.00), and 2 fascia boards at 28.00 (56.00), for 186.00.
  • Paint and materials: 9 gal of wall paint, 2 gal of ceiling paint, 4 gal of trim paint, 16 gal of exterior paint, and a lot of primer, caulk, patching and masking supplies, for a materials subtotal of 1,809.00.

The subtotal is 9,423.00. Sales tax is 0.00 at the sample's 0% rate, so the total is 9,423.00, and less the 2,500.00 deposit, the amount due is 6,923.00. All prices are sample values, not suggested rates.

Rooms and surfaces by area

Bill each room or surface on its own line, with its measured area in Qty, the unit, and your price per unit in Rate. Put the prep and coats in Details ("Patch and sand; 2 coats"), so the client can see what the price covered. Use the unit that fits the surface: square feet for walls, ceilings and siding, linear feet for trim and fascia, and a price per door.

If the job followed an estimate, use the same lines and areas, as the sample does. Its note says: "Interior and exterior lines are as quoted on PT-0829, at the areas measured on site."

Extra prep and repairs found on the job

Work that wasn't in the estimate goes in "Additional prep and repairs", with when it was approved. The painting estimate excludes "Repairing rotted wood or damaged siding (priced separately if found)", and the sample invoice bills the fascia repair found during prep as labor and materials, "approved Nov 18". The job note records that "The fascia repair was approved by Riley Example on Nov 18, 2026, before the work was done." Get the client's approval before you do extra work, and keep it in writing.

Paint, materials and sales tax

List paint by product, sheen and gallons, with the color in Details, and group the small supplies into one line. The Job block's "Colors" field records the colors and sheens used, which helps if the client asks for a touch-up later.

In the Excel file, "Sales tax, if applicable" applies its rate to the whole Subtotal, labor and materials together. That's how the file is built, not a statement about what is taxable. Whether painting labor or materials are taxed, and how, depends on where you work, so check the rules there before you set the rate, or overwrite the tax amount.

Deposit

"Less: deposit received" takes off what the client paid before the job, and the sample's note records it: "The deposit of 2,500.00 was received on Nov 10, 2026." How much deposit you take is a term of your agreement with the client; check the rules where you work before you set it. If no deposit was paid, set the line to 0.00.

Lead paint and licensing

  • Lead paint (US). EPA says its Renovation, Repair and Painting (RRP) Rule "requires that anyone paid to perform work that disturbs painted surfaces in homes, childcare facilities and preschools built before 1978 be certified and their employees be trained … in the use of lead-safe work practices" (EPA: Lead Renovation, Repair and Painting Program). The template has no field for it, so if your firm certification applies to a job, add it to the job notes.
  • Licensing. The "License no." field is a placeholder. In California, CSLB says that from January 1, 2025, the minor work license exemption rose from $500 to $1,000, but the work can't require a permit and the unlicensed person can't employ anyone for the project (CSLB Industry Bulletin #24-07). Elsewhere, check with the licensing board where you work.

Filling in the figures

In the Excel file:

  • Each line amount is Qty × Rate, rounded to the cent, and each table has its own subtotal.
  • The interior and exterior tables have no blank rows. The additional work and materials tables each have one blank row at the end.
  • The Subtotal adds all four tables, "Sales tax, if applicable" is the Subtotal × the rate in its own cell, and the Total is the Subtotal + the tax.
  • You type the deposit, and the Amount due is the Total less the deposit.

The file's tip says: "To leave out "Sales tax, if applicable", set its rate to 0%; to leave out "Less: deposit received", set it to 0.00. Don't delete these rows: the totals refer to them."

In the Word file, the amounts are typed, not calculated, so retype them when you change a figure. The PDF is blank, so fill in every amount and the tax rate by hand. We haven't tested the files in Excel or Word.
