Plumbing Invoice Template

Bill finished plumbing work with the fixtures and parts installed, labor hours, the trip fee, a permit fee passed through at cost and the deposit already paid, as an editable Word or Excel file or a blank PDF to print

No credit card required.

Quick answer:A plumbing invoice bills a client for plumbing work that's been done. The template on this page records the job address, work dates and work performed, then lists fixtures and parts, labor hours at an hourly rate and the service call (trip and diagnostic fee and haul-away), with a sales tax line on parts, labor and service call, a permit fee passed through at cost, the deposit received and the amount due. It pairs with the plumbing estimate, which prices the same job before the work. It comes as a blank PDF form plus Word and Excel files with sample values; the Excel file calculates the lines, subtotals, tax, total and amount due. The page also covers matching the invoice to the estimate, deposit limits in California and licensing.

The PDF is a blank invoice to print and fill in by hand. The Word and Excel files contain the sample details shown in the preview, ready for you to replace with your own. In the Excel file, each line amount is a formula: "Qty" × "Unit price". The section subtotals, subtotal, tax, total and amount due are formulas too. The amount due is the total minus the deposit received. The tax rate sits in its own cell, so you can change it.

Plumbing service invoice

An invoice for completed plumbing work: the work performed, fixtures and parts, labor hours at an hourly rate, the trip and diagnostic fee, a tax rate cell, a permit fee passed through at cost, the deposit received and the amount due.

A request for payment — shows the amount due

What a plumbing invoice is for

A plumbing invoice asks the client to pay for plumbing work you've finished: what you did, the fixtures and parts you installed, your labor and the service call, with any permit fee and any deposit already paid. It's the bill that follows the estimate.

Each stage has its own document:

  • Before the work: the plumbing estimate prices the job and sets out the scope and exclusions for the client to approve.
  • After the work: this invoice bills what you actually did.
  • After payment: a receipt confirms the money came in. The plumbing receipt records payment for a plumbing job, and the payment receipt confirms payment of a specific invoice.

In Billed's estimating software, you can convert an approved estimate into an invoice instead of retyping it.

What's on the plumbing service invoice

  • Plumbing contractor and Invoice details: your business name, address, phone or email and a "License no." line marked "if required where you work", then the invoice number, invoice date, payment terms, due date and work order number.
  • Bill to (client) and Work performed: the client's name, address and phone or email; the job address, the work dates and a plain description of the work performed.
  • Fixtures and parts: description, quantity, unit, unit price and amount, with a "Fixtures and parts subtotal".
  • Labor: the same columns with hours as the unit, and a "Labor subtotal".
  • Service call: the trip and diagnostic fee and any haul-away, with a "Service call subtotal".
  • Totals: "Subtotal", "Sales tax on parts, labor and service call, if applicable", "Permit fee, passed through at cost", "Total", "Less: deposit received" and "Amount due".
  • How to pay and Job notes: the methods you accept, placeholders for your account details, a payment reference, and notes on the work order, the permit fee and the deposit.

The sample bills the job priced on the plumbing estimate: replacing a 50-gallon gas water heater, adding an expansion tank and drain pan, and replacing a shower valve cartridge on Nov 11, 2026. Fixtures and parts come to 1,399.50, labor to 750.00 (6 hours at 125.00) and the service call to 134.00, for a subtotal of 2,283.50. Sales tax is 0% in the sample. The 75.00 permit fee brings the total to 2,358.50, and the 500.00 deposit received on Nov 6 leaves 1,858.50 due by Nov 27, 2026 on Net 14 terms. Every name and amount is a placeholder, not a market price.

The PDF is a blank form to print and fill in by hand. The Word and Excel files have the same layout with the sample values to type over.

Matching the invoice to the estimate

Bill against the scope the client approved, line by line, so they can check one document against the other. The sample's figures match its estimate exactly, and its job notes say the work was completed "as approved under work order WO-2207". When the job differs from the estimate, the invoice should show the difference:

  • Parts. Bill the fixtures and parts you actually installed. If the client supplied a fixture, leave its line off and keep the labor.
  • Labor. Bill the hours worked, one line per part of the job, at the rate you quoted.
  • Extra work. If you found hidden damage or the client added work, bill it only after they approved it, and name the approval in the description or the job notes.

Trip fee, haul-away and permit fee

The trip and diagnostic fee and any haul-away of the old fixture go under "Service call", as on the estimate. Whether you charge a trip fee, and whether it's credited against the repair, are your business terms.

The permit fee sits below the subtotal as "Permit fee, passed through at cost", and the sample's job note says it's the amount charged by the local permit office, with the permit record available on request. Set it to 0.00 if no permit was needed. In the Excel file, the sales tax line applies only to parts, labor and service call, and the permit fee is added after it. That's how the file is built, not a statement about what is taxable. Whether sales tax applies to parts, labor or service charges depends on where you work, so check the rules there before you set the rate.

Deposits and payment terms

Enter any deposit the client already paid on "Less: deposit received", and say in the job notes when it was received, as the sample does. The amount due is the total less that deposit.

Deposit limits can apply to residential work. In California, the Contractors State License Board says the down payment on a home improvement job cannot be more than $1,000 or 10 percent of the contract price, whichever is less, with no exceptions for special-order materials, and that payments can't exceed the value of the work performed (CSLB). On the sample's 2,358.50 total, 10 percent is 235.85, less than the sample's 500.00 deposit, which is a placeholder. Elsewhere, check the rules where you work.

Print the payment terms and due date on every invoice, as the sample does with "Net 14" and Nov 27, 2026. Charge a late fee only if the client agreed to it in advance, and check the rules where you work first. Lien and prompt-payment rules are set where the job is, so check them before the work starts if you may need to rely on them.

Licensing

Licensing depends on where you work. In California, the Contractors State License Board's C-36 Plumbing Contractor classification describes a contractor who "provides a means for a supply of safe water, ample in volume and of suitable temperature for the purpose intended and the proper disposal of fluid waste from the premises", and it includes gas piping and gas appliance connections (CSLB C-36). Elsewhere, check the licensing rules where you work. The template's "License no." line says "if required where you work"; fill it in if you hold one.

How to fill in the template

  1. Enter your business details and license number, the invoice number and date, the payment terms, the due date and the work order number.
  2. Enter the client, the job address, the work dates and a plain description of the work performed.
  3. List the fixtures and parts installed, the labor hours by part of the job and the service call charges.
  4. Enter the permit fee, or 0.00, and the deposit received, if any. Set the sales tax rate if tax applies.
  5. Edit the job notes and payment details, then send the invoice and keep a copy.

In the Excel file, each line amount is Qty × Unit price, and the section subtotals, the subtotal, the sales tax, the total and the amount due are formulas. The tax rate sits in its own cell, starting at 0%, and applies to the subtotal of parts, labor and service call. You type the permit fee and the deposit. To leave out the tax, set its rate to 0%; to leave out the permit fee or the deposit, set it to 0.00. Don't delete those rows, because the totals refer to them. Each section has one blank row; to add more lines, insert a row above that blank row and copy the amount formula into it, then check that the section subtotal and the subtotal include it. In Word or on the PDF, work out the amounts and enter them.
