Taxi account receipt (multiple trips)

Which taxi receipt do you need?

Taxi fare receipt covers one ride. Hand it to the passenger at drop-off, or send it afterwards. It has the company name and phone, the driver's name and badge or licence number, the vehicle plate or medallion number, a receipt number and date, pickup time and location, drop-off time and location, distance, the metered fare, separate lines for extras such as tolls, airport fees or waiting time, a fare subtotal, the tip, the total, the amount paid and balance, the payment method and a driver signature line.

Taxi account trip receipt covers several rides for one passenger or company account over a period, such as a week or a month. Each ride gets a row (date, from, to, distance, fare, extras, tip, trip total), followed by the total for the period, the amount paid and balance, and the payment method, payment reference and date paid. It suits regular customers and business accounts that pay for a batch of rides at once, and has an optional cost centre or PO field for company accounts.

Both come in three files:

  • PDF: a blank form for drivers who write receipts by hand. Print a stack and keep it in the vehicle.
  • Word (.docx) and Excel (.xlsx): the same layout filled with sample values. Type over them, or save a copy with your own company details as your master file.

Only use the account version after the account has been paid. If the rides haven't been paid for yet, send an invoice or an account statement instead.

What to put on a taxi receipt

  • Who provided the ride. Company or driver name and contact details, plus the licence, medallion or plate number your licensing authority uses to identify the vehicle or driver.
  • A receipt number and date. Number receipts in sequence so you can match each one to your own records and find it again if a passenger asks for a copy.
  • The trip. Pickup time and location, drop-off time and location, and distance. A cross street or landmark is enough when there's no street address.
  • The charges, itemised. Put the metered fare first, then each extra (tolls, airport fee, waiting time) on its own line, then the tip. Itemised amounts show the passenger what they paid for, and they can copy individual amounts into an expense report if their employer asks for them.
  • Proof of payment. The total paid and how it was paid (cash, card, account). For card payments, write the last four digits at most, never the full card number. The single-fare receipt also has a field for the card authorisation code.
  • A signature. The single-fare receipt has a line for the driver to sign, and the account receipt has one for the person issuing it on behalf of the company.

What a taxi receipt legally has to show, and whether the meter must print one, depends on the city or region that licenses the vehicle. Check your local licensing authority's rules. If your meter or dispatch system is required to issue its own receipt, these templates don't replace it.

How to fill in a taxi fare receipt

  1. Enter your company or driver details and your licence, medallion or plate number once, then save the file (or print a batch of PDFs) as your master copy.
  2. For each ride, use the next receipt number and enter the date.
  3. Write the pickup time and location, then the drop-off time and location, then the distance from the meter or trip record.
  4. Enter the metered fare and each extra on its own line, then the tip. The total is the fare subtotal plus the tip. In the Excel file the subtotal, total and balance are calculated for you; type the amount paid and check that the balance shows 0.00.
  5. Record the payment method, sign the receipt, give the passenger the original and keep a copy (a carbon copy, a photo or the saved file).

For the account receipt, add one row per paid ride. In the Excel file each trip total and the total for the period are calculated for you. The amount paid is typed in, so update it if you change a ride, and check that the balance shows 0.00.

Using a taxi receipt for a business expense claim

Before you leave the cab, check that the receipt shows the date, where you went, the amount and the company or driver. Then write down the business purpose of the trip, either on the receipt or in your expense report.

In the US, IRS Publication 463 (2025) says you generally need documentary evidence, such as receipts, canceled checks or bills, to support travel and transportation expenses. The exceptions include an expense (other than lodging) under $75, and a transportation expense for which a receipt isn't readily available. You still need to keep a record of the cost, date, destination and business purpose, and the publication lets you combine taxi fares into one daily entry as an incidental travel expense. Publication 463 also says taxi fares between home and your main or regular place of work are personal commuting costs and can't be deducted. An employer's reimbursement policy may be stricter than these IRS rules, so check it before you skip a receipt.

If you're an employee, the receipt mainly matters for getting the fare paid back. Publication 463 says unreimbursed employee transportation expenses are a miscellaneous itemized deduction that is no longer allowable, apart from a few listed groups such as Armed Forces reservists. If your employer reimburses you under an accountable plan, the reimbursement shouldn't be included in the wages on your Form W-2. Self-employed people report deductible business transportation on Schedule C.

Outside the US, check your own tax authority's rules and your employer's expense policy.

If the same trip involved a hotel stay or a rental car, see the hotel receipt and car rental receipt templates.

When this isn't for you

If the rides haven't been paid yet, for example trips charged to an account that settles at the end of the month, send an invoice or account statement instead of a receipt. If your licensing authority requires the meter or dispatch system to print or send the receipt, use that receipt; a template doesn't replace it.
