Hotel Invoice Template for Group and Company Bookings

Bill a company, tour operator or event organizer for a group stay, with the room block, meeting room, food and beverage, taxes, the deposit already received and the amount due, in PDF, Word and Excel

No credit card required.

Quick answer:A hotel invoice asks a client who pays after the stay, usually a company, tour operator or event organizer, to settle a booking on agreed terms. Unlike a guest folio or a hotel receipt, it is addressed to the bill-to party, carries an invoice number, payment terms and a due date, and ends with the amount still owed. This page's free group booking invoice lists the room block in room nights at the group rate, meeting rooms, food and beverage, a room tax line and a sales tax line, the deposit already received and the amount due. It comes as a blank print-and-fill PDF and as Word and Excel files filled in with sample values.

The PDF is a blank invoice to print and fill in by hand. The Word and Excel files contain the sample details shown in the preview, ready for you to replace with your own. In the Excel file, each line amount is a formula: "Qty" × "Rate". The section subtotals, subtotal, tax, total and amount due are formulas too. The amount due is the total minus the deposit received. The tax rates sit in their own cells, so you can change them.

Hotel group booking invoice (direct bill)

A direct-bill invoice from a hotel to the company or organizer behind a group booking: the room block as rooms times nights at the group rate, meeting rooms, food and beverage, tax lines, the deposit already received and the amount due. Guests' own extras are not on it.

A request for payment — shows the amount due

Hotel invoice, folio or receipt?

Hotels produce three different documents for a stay, and they aren't interchangeable:

  • Guest folio. The running account for a room during the stay. Charges are posted to it as they happen and payments are taken against it.
  • Hotel receipt. Proof that a stay has been paid for. At check-out, a settled folio with a zero balance usually serves as the receipt. The hotel receipt template covers that case.
  • Hotel invoice. A request for payment sent to someone who will pay after the stay, on terms you've agreed with them. It names who is billed, carries an invoice number, an invoice date, payment terms and a due date, and ends with the amount due.

You need an invoice when the people staying aren't the ones paying at check-out: a company with a direct-billing arrangement, a tour operator or event organizer that booked a block of rooms, a wedding party settling one master account, or a department that pays against a purchase order. Hotels often call this direct billing. Until the client pays, the amount sits in accounts receivable, which some hotels call the city ledger.

What's on the group booking invoice

The template bills one master account for a group stay or event:

  • Hotel details and a group sales contact
  • Invoice details: invoice number, invoice date, group contract number, payment terms and due date
  • Bill to: the company paying, an "Attention" line for their accounts team, the billing address and their PO number
  • Group and stay: group name, arrival and departure dates, rooms in the block and rooms picked up
  • Room block: one line per room type, with the rooms and nights in the description and the quantity in room nights at the group rate, plus a line for any unused rooms your contract lets you charge for
  • Meeting rooms, including equipment such as an AV package, and food and beverage priced per guest or per cover, each section with its own subtotal
  • Subtotal, two tax lines ("Room taxes, if applicable" and "Sales tax on meeting rooms and food, if applicable"), the total, "Less: deposit received" and the amount due
  • How to pay: accepted methods, with placeholders for your account name and bank details, and the payment reference to quote
  • Billing notes for the contract terms behind the charges, which extras guests settled themselves, and the supporting records available on request

How to bill a room block

Price rooms by room type. Write the rooms, nights and dates in the description (for example, "20 rooms x 3 nights"), enter the room nights as the quantity and the agreed group rate as the rate. If the rate changes partway through, for example a different rate for a night before the main dates, put each rate on its own line rather than averaging them.

Bill from what was actually used, checked against your group contract:

  • Rooms picked up. Reconcile the rooming list with the nights each room was occupied, so the client's accounts team can match each line to their attendees.
  • Released or unused rooms. If your contract charges for rooms canceled after a cut-off date, or for a shortfall below an agreed pick-up level (often called attrition), put that charge on its own line, as the sample does for one unused room, and say in the billing notes which contract terms it comes from. The invoice should only bill what the client agreed to in the contract.
  • Complimentary rooms. If the contract gives the group free rooms, add them as a line at 0.00 so the client can see the concession.
  • Incidentals. Agree before arrival whether the master account covers room and tax only, or extras too. If guests settle their own bar, minibar or laundry charges at check-out, leave those off this invoice; each guest gets their own folio and receipt.

Meeting rooms, food and beverage

List meeting room hire by room and date, and equipment such as projectors, screens or microphones on its own line in the same section. Put each food and beverage function on its own line, such as a reception, a lunch or a coffee break, with the number of guests or covers and the price per head. If you add a service charge, give it its own clearly labeled line in the blank row rather than building it into the menu price.

Splitting rooms, meeting space and catering this way lets the client check each part against the contract and their budget lines, and it keeps the tax on each part visible.

Taxes on a hotel invoice

Lodging taxes go by different names (occupancy tax, hotel tax, transient accommodations tax, tourist tax) and can be set by a state, a county or a city, so more than one may apply to the same room. In Hawaii, for example, the County of Kauaʻi explains that its transient accommodations tax and the State of Hawaiʻi's are separate taxes, each paid to its own taxing authority. Meeting room hire and food and beverage may be taxed differently from rooms, or under a different tax altogether.

That's why the template has two tax lines with no rate built in. "Room taxes, if applicable" applies only to the room block, and "Sales tax on meeting rooms and food, if applicable" applies only to the meeting room and food and beverage sections. In the Excel file, each has a rate cell that starts at 0%: enter the rate that applies, or leave it at 0% if that tax doesn't apply. Don't delete the row, because the totals refer to it. If several percentage taxes apply to rooms, you can enter their combined rate and name each tax in the label or the billing notes. If a tax is charged another way, such as a flat amount per room night, check how your tax authority wants it shown.

If a client tells you it's exempt, check what your state and local rules require before you leave the tax off. Rates, exemptions and which charges are taxable vary from place to place, so check your state and local rules.

Deposits, cancellation and payment terms

  • Deposit received. If the client paid a deposit before arrival, enter it on the "Less: deposit received" line below the total, so the amount due is the total less what the client has already paid. Add the date it was paid to the billing notes. To ask for the deposit in the first place, send a separate deposit invoice before arrival.
  • Cancellation terms. Cut-off dates, cancellation charges and pick-up (attrition) terms are business terms you set in the group contract. Name the contract on the invoice, as the "Group contract no." field does, and summarize the terms behind any charge in the billing notes, so the client's accounts team doesn't have to find the contract to understand it.
  • Payment terms and due date. Use the terms in your agreement with the client and write the due date as a date, not just "30 days". If the client works with purchase orders, put the PO number in the "Bill to" block; an invoice without it may be sent back unpaid. If you charge late fees or interest, put that in the contract and on the invoice, and check your local rules before you do.
  • How to pay. List the methods you accept and the reference the client should quote, which the template sets as the invoice and PO numbers. Fill in your own account details in place of the placeholders. Never print a full card number on an invoice: if the deposit was paid by card, "Card ending 0000" is enough.

How to fill in the hotel invoice

  1. Add your hotel's details and group sales contact, then the invoice number, invoice date, group contract number, payment terms and due date.
  2. Under "Bill to", enter the company that is paying, who it's for the attention of, the billing address and the PO number.
  3. Fill in "Group and stay": group name, arrival and departure dates, rooms in the block and rooms picked up.
  4. Enter the room block, one line per room type, with the room nights as the quantity and the group rate. Then add the meeting room and food and beverage lines.
  5. Set the two tax lines. In the Excel file, type each rate into its rate cell and the amounts are calculated; in Word or on the PDF, write the rate into the label and enter the amounts yourself.
  6. Enter the deposit received (with the date it was paid in the billing notes) and check that the amount due equals the total less the deposit.
  7. Fill in "How to pay" and the billing notes, then send the invoice and keep a copy.

The PDF is a blank form for printing and filling in by hand. The Word and Excel files have the same layout with sample values filled in, which you overwrite for each group. The Excel file works out each line amount, the section subtotals, the taxes, the total and the amount due with formulas.

When the client pays, send them a receipt for the payment. If you invoice in Billed, clients can pay online by card or PayPal, Billed can send automatic reminders for overdue invoices, and it sends the client a payment receipt after each online payment.

When this isn't for you

This isn't the right document for a guest who pays at check-out: give them a settled folio or a hotel receipt instead. It also isn't a booking confirmation or a group contract; those set the rates and terms before the stay, and this invoice bills against them. If your property management system already produces direct-bill invoices from the master account, send those rather than re-entering the charges.
