Free Pet Grooming Invoice Template

The pet grooming invoice bills a pet owner for one appointment, with room for two pets. It has:

• Groomer: your business name, address and phone or email.
• Invoice details: invoice number, invoice date, payment terms, due date and the appointment date and time.
• Bill to (owner): the owner's name, address and phone or email. The owner is your client, so the bill goes to them, not the pet.
• Pets: "Pet 1: name / breed / size" and "Pet 2: name / breed / size", plus a "Coat notes" line.
• Three priced sections: Grooming services, Add-ons and Products. Each has the columns Pet, Service / item, Qty, Unit, Price and Amount, and its own subtotal.
• Totals: Subtotal, "Sales tax, if applicable", Total, "Less: deposit or package credit applied" and Amount due.
• How to pay: accepted methods, placeholders for your account name and bank details, and the payment reference to quote.
• Grooming notes for how you charged, any deposit applied and anything else the owner should know.

It comes as three files:

• PDF: a blank form to print and fill in by hand.
• Word (.docx) and Excel (.xlsx): the same layout filled with sample values. Overwrite them with your own.

In the Excel file, each line amount is Qty × Price. The three section subtotals, the subtotal, the sales tax, the total and the amount due are formulas. The tax rate sits in a cell you can change (0% in the sample), and you type the deposit or package credit in yourself. The sample works out as 165.00 for services, 65.00 for add-ons and 32.50 for products: a subtotal of 262.50, less a 40.00 deposit, leaves 222.50 due.

The sample prices, the 15-minute dematting charge and the "Suggested next visit" note only show how the form works. They are not typical prices or recommended policies. Use your own price list.

Put anything beyond the main groom in Add-ons, one line each, such as a de-shedding treatment, teeth brushing or nail grinding. That keeps the price of the main groom the same from visit to visit, and the owner can see what they chose.

Dematting and extra handling. If you charge more for a matted coat, or for extra time with a pet that is hard to handle, that is your business policy. Write it into your price list and tell owners before the appointment, then bill it as its own add-on line. Use the Qty and Unit columns to show how you worked it out, as the sample does with "Dematting, per 15 minutes": 2 × 15 min at 15.00. Repeat the basis in the grooming notes ("Dematting is charged in 15-minute steps at 15.00 each").

A no-show or late-cancellation fee is a business policy you set. If you charge one, write it down and tell owners when they book. Then bill it as its own line with the date of the missed appointment, or keep the deposit if your written policy says so.

The same goes for your other booking rules, such as how late an owner can be before you reschedule, or whether you ask for proof of vaccination before grooming. Those are your policies: put them in your booking terms or on your website rather than on the invoice, and check the rules where you work if you're not sure what you can require or charge.

Shampoo, conditioner sprays, brushes, collars and treats that the owner takes home go in Products, one line each with the quantity and price. Name the product and its size, such as "Coat conditioner spray, 8 oz".

Whether sales tax applies to grooming services, to the products you sell, or to both depends on where you work. For one example, the Minnesota Department of Revenue's Revenue Notice 15-02 says pet grooming services are subject to sales tax there, including shampooing, clipping, currying, trimming and nail cutting. It treats guide, hearing, service and seizure dogs for people with disabilities, and all horses, as not pets for this purpose, so grooming them isn't taxable in Minnesota. Elsewhere, check the rules where you work with the tax agency or a tax advisor before you set a rate.

On the template, "Sales tax, if applicable" applies one rate to the whole subtotal: services, add-ons and products. If no tax applies, leave the rate at 0%, as in the sample. If only some lines are taxable where you work, work out the tax on those lines and type that amount over the tax formula in the Excel file.

• Invoice: asks the owner to pay, with an amount due and a due date. This template is never marked paid.
• Receipt: confirms you were paid. When the owner pays at pickup or later, give them a receipt, such as a service receipt.
• Vet bill: if a veterinary practice grooms a pet as part of a visit, use the veterinary invoice, which lists examinations, services and medications.
