How do I bill a package the owner paid for in advance?

List each session at its usual rate, then take the package off on the "Less: package credit" line, and note when it was bought and which sessions it covers. In the sample, 3 private sessions at 95.00 are covered by a 285.00 package, so 545.00 less 285.00 leaves 260.00 due.

How do I bill group classes?

Put each course on one line in the Group classes table, with the class dates, the number of classes in Qty and your per-class rate. The sample bills 4 classes at 35.00, for 140.00.

Should the behavior evaluation be a separate line?

Yes. List it first in the Evaluation and private sessions table with its date and length, so the owner can tell it apart from the sessions that follow. The sample's evaluation is 90 minutes at 120.00.

Do I charge sales tax on dog training?

It depends on where you work, so check the rules there. The template's tax line is set to 0% and, if you set a rate, applies it to the whole subtotal.

Which format should I download?

Use the PDF for a blank A4 form to fill in by hand. Use the Word or Excel file to type the invoice: both have the same layout with a sample you overwrite. The Excel file calculates the amounts, subtotals, tax, total and amount due; you type in the package credit.

What this dog trainer invoice is for

Use this invoice to bill a dog owner for training over a period, such as a month: the first behavior evaluation, private sessions, group classes, and any package the owner paid for in advance. Each session is a dated line with its length, so the owner can match the invoice to the sessions they attended.

It's for training. If you walk dogs, use the dog walking invoice, which has a walk log with the dog or dogs and walk length at a per-walk rate, extra-dog and holiday surcharges, and a prepaid package.

The invoice is titled DOG TRAINING INVOICE and has these parts:

Trainer: business name, address, and phone or email.
Invoice details: invoice number, invoice date, payment terms, due date and billing period.
Bill to (owner): owner name, address, and phone or email.
Dog: name, breed and age, and the training goals you're working on with the owner.
Evaluation and private sessions: Date, Session, Length, Qty, Rate and Amount, with a "Private training subtotal".

Amount due: 260.00, the evaluation and the group classes. The invoice is dated Dec 1, 2026 on Net 7 terms, so it's due Dec 8, 2026.

These figures only show how the form works; they aren't typical rates.

Packages, classes and the evaluation

When an owner pays for a package of sessions in advance, list each session at its usual rate as it happens, then take the package off on the "Less: package credit" line. Say in the training notes when the package was bought, what it cost and which sessions it covers, as the sample does, so the owner can see how much of the package is used.

Bill group classes as one line per course, with the class dates in the Date column and the number of classes in Qty. Bill the behavior evaluation as its own line, with its length, so it isn't mixed up with the sessions that follow.

The training goals in the Dog block describe what you and the owner are working on. The invoice records the sessions delivered; it doesn't promise a result.

The notes also hold your terms. The sample has "Sample terms: a session canceled with less than 24 hours' notice is charged in full." Replace it with your own policy.

Filling in the template

The PDF is a blank form to print and fill in by hand, with a blank for the tax percentage. It's sized for A4 paper, so if you print on US Letter, check the scaling setting in your print dialog so the whole page fits. The Word and Excel files have the same layout filled with the sample, for you to overwrite.

In the Excel file:

each line's Amount is Qty × Rate, rounded to the cent;
the two subtotals and the Subtotal are formulas;
"Sales tax, if applicable" is the Subtotal × its rate cell (0% in the sample), and Total is the Subtotal plus the tax;
"Less: package credit" is an amount you type in, and Amount due is Total less that credit;
the file's tip says: to leave out the sales tax, set its rate to 0%; to leave out "Less: package credit", set it to 0.00; and don't delete these rows, because the totals refer to them.

Whether dog training is taxable depends on where you work, so check the rules there before you set a rate. In the Word file the tax line shows its rate in the label ("(0%)"), so update it if you change the rate. In Word or on the PDF, work out the amounts yourself.
