Pressure Washing Estimate Template

A pressure washing estimate that prices each surface by the square foot, adds deck sealing and gutter brightening, a trip fee, sales tax and a proposed deposit, with a valid-until date, as an Excel file with formulas, a Word file or a blank PDF

No credit card required.

Quick answer:This pressure washing estimate prices a job before it starts. Each surface, such as a driveway, patio, siding or fence, is a line with its square footage and a rate per square foot; add-ons such as deck cleaning and sealing and gutter brightening have their own section. A trip fee, a sales tax line on the subtotal plus the trip fee, the estimated total and a proposed deposit (20% in the sample) follow, with a valid-until date, project notes, exclusions and a client acceptance signature. It comes as an Excel file with formulas, a Word file with sample details and a blank PDF. The page explains square-foot pricing, add-ons, the trip fee, tax and deposit, and uses the City of San Diego's stormwater rule as an example of local wash-water rules.

Pressure washing estimate

An estimate for pressure washing: each surface by square foot at a rate, add-ons such as deck sealing and gutter brightening, a trip fee, a tax rate cell, the estimated total, a proposed deposit and a valid-until date.

A priced proposal — not an invoice

What goes on a pressure washing estimate

A pressure washing estimate tells the client which surfaces you'll clean, how big each one is, what each costs and what isn't included. The template has these parts:

  • Business. Your business name, address and phone or email.
  • Estimate details. The estimate number, date, "Valid until" and "Prepared by".
  • Client and property. The client's name, phone or email, the property address and the water source you'll use.
  • Surfaces. One line per surface: description, qty, unit (sq ft), unit price and amount, with a "Surfaces subtotal".
  • Add-ons. Extra services such as deck sealing or gutter brightening, with an "Add-ons subtotal".
  • Totals. "Subtotal", "Trip fee", "Sales tax, if applicable", "Estimated total" and "Proposed deposit".
  • Project notes and Exclusions. What the client should know about the work, and what the price doesn't cover.
  • Acceptance. "Accepted by (client signature)", "Print name" and "Date".

The sample prices a house exterior: 900 sq ft of concrete driveway at 0.25 a square foot (225.00), a 400 sq ft paver patio at 0.30 (120.00), 2,100 sq ft of vinyl siding, soft wash, at 0.18 (378.00) and 360 sq ft of wood fence at 0.20 (72.00), for 795.00 in surfaces. Deck cleaning and sealing (300 sq ft at 0.85) and gutter brightening (140 linear ft at 1.10) add 409.00, for a subtotal of 1,204.00. A 45.00 trip fee brings the estimated total to 1,249.00, with sales tax at 0% in the sample. The proposed deposit at 20% is 249.80, and the estimate is valid from Nov 5 to Dec 5, 2026. The rates are placeholders, not market rates.

Pricing surfaces by the square foot

  • One line per surface. Name the surface, the material and the method, as in "House siding, vinyl, soft wash" or "Back patio, pavers". Different surfaces take different time and products, so each gets its own rate.
  • Measure the area. Length × width for flat areas, and the wall area for siding and fences. Put the square footage in Qty and "sq ft" in Unit.
  • Use another unit where it fits, such as linear feet for gutters, as the sample does for gutter brightening.
  • Small jobs. If you charge a minimum for a small job, add it as its own line so the client can see it.

Add-ons

Add-ons are services beyond cleaning a surface. The sample has deck cleaning and sealing, priced by the square foot, and gutter brightening on the exterior faces, by the linear foot. Put anything that depends on conditions in the project notes. The sample notes that "The sealer needs 24 hours of dry weather after application", and that plants near the house are rinsed before and after the soft wash.

Trip fee, tax and the deposit

  • Trip fee. A typed amount below the subtotal: 45.00 in the sample. Set it to 0.00 if you don't charge one.
  • Sales tax. "Sales tax, if applicable" applies to the subtotal plus the trip fee, at the rate in its rate cell (0% in the sample). That's how the file is built, not a statement about what is taxable. Whether cleaning services are taxable depends on where you work, so check with the tax agency there.
  • Proposed deposit. 20% of the estimated total in the sample, 249.80, to book the job. It's a proposal shown on the estimate and isn't subtracted from the total. When the client accepts, request it with a deposit invoice.

Water source and wash water

The template has a "Water source" field, such as "Outdoor spigot on the east wall", so you and the client agree before the job where the water comes from.

Rules on where wash water can go depend on where you work. In San Diego, the city says "It is illegal to discharge polluted wash water from pressure washing, power washing or hosing down outdoor surfaces into the Municipal Separate Storm Sewer System (MS4) (San Diego Municipal Code §43.0304)", with penalties of up to $10,000 per day per incident. The city tells you to plan to "control, contain, capture and dispose of the water you use" (City of San Diego: Pressure washing). Elsewhere, check with your city or county stormwater program before the job, and list any containment or recovery work as its own line if you charge for it.

Valid until and exclusions

Prices "are valid until the date shown"; the sample gives 30 days. Pick a period that matches how long your prices and schedule hold, and send a new estimate if the client comes back after it.

List what the price doesn't cover under Exclusions, as the sample does with roof cleaning and stains that don't lift with washing, so there's no argument about them later.

Filling in the figures

In the Excel file, each line amount is qty × unit price. The two section subtotals, the subtotal, the sales tax, the estimated total and the proposed deposit are formulas, and the tax and deposit rates each sit in their own cell. The trip fee is typed. Each section has one blank row at the end.

  • No tax, no deposit or no trip fee: set the tax or deposit rate to 0%, or the trip fee to 0.00. Don't delete the rows, because the totals refer to them.
  • More surfaces than fit: insert a row above the blank row in that section and copy the amount formula into it, then check that the section subtotal and the subtotal include it.

In the Word file, the amounts are typed, not calculated, so retype them when you change a figure. The PDF is a blank form to fill in on site, with blanks for the tax and deposit rates. We haven't tested the files in Excel or Word.

Estimate, then invoice

  • Before the job: send this estimate and get the client's acceptance.
  • To book the date: request the deposit with a deposit invoice.
  • After the job: bill the work with the power washing invoice template, and deduct any deposit received.

Estimates in Billed

In Billed you can save your services, such as a driveway rate per square foot, to add them to estimates quickly, see which estimates clients have accepted, and convert an approved estimate into an invoice (estimating software).

When this isn't for you

If the job is done and you're billing for it, send a power washing invoice. If you clean building interiors on a schedule, the commercial cleaning estimate fits better. If you only need the deposit after the client accepts, send a deposit invoice.
