Career Consultant Invoice Template

A career coaching invoice for billing a session package, extra sessions and fixed-fee services such as a résumé rewrite, with the package prepayment taken off the total, in PDF, Word and Excel

No credit card required.

Quick answer:A career coaching invoice bills a client for coaching already delivered. The template on this page has the coach's details, the invoice number, date, payment terms, due date and coaching period, the client and their goal, and three priced tables: the coaching package as one line, additional sessions as sessions × a session rate, and fixed-fee services such as a résumé rewrite and a LinkedIn profile review. The totals are a subtotal, sales tax if it applies, the total, "Less: package prepayment" for what the client paid in advance, and the amount due. Package terms such as expiry and refunds are business terms to agree with the client, and the invoice describes the work done rather than promising an outcome. It comes as a blank PDF form plus Word and Excel files with a sample client.

The PDF is a blank invoice to print and fill in by hand. The Word and Excel files contain the sample details shown in the preview, ready for you to replace with your own. In the Excel file, each line amount is a formula: "Qty" × "Rate". The section subtotals, subtotal, tax, total and amount due are formulas too. The amount due is the total minus the package prepayment. The tax rate sits in its own cell, so you can change it.

Career coaching invoice

A career coaching invoice: a prepaid coaching package, additional sessions at an hourly session rate, fixed fees for a résumé rewrite and a LinkedIn profile review, a tax rate cell, the package prepayment and the amount due.

A request for payment — shows the amount due

What a career coaching invoice is for

A career coaching invoice bills a client for coaching you've delivered: a package of sessions, any sessions beyond the package, and fixed-fee services such as a résumé rewrite. If the client paid for the package in advance, the invoice credits that payment, so the amount due is only what's left.

What's on the career coaching invoice

  • Coach: business name, address and phone or email
  • Invoice details: invoice number, invoice date, payment terms, due date and "Coaching period"
  • Bill to (client): client name, address and email
  • Coaching: the client's "Goal" and the "Package" they booked
  • Coaching package: the package as one line
  • Additional sessions: sessions beyond the package, as a number of sessions × your session rate
  • Fixed-fee services: one line each for services priced as a flat fee, with a "Fixed-fee services subtotal"
  • Totals: "Subtotal", "Sales tax, if applicable" with its rate, "Total", "Less: package prepayment" and "Amount due"
  • How to pay: accepted methods, account name, bank details and a payment reference, with placeholders for your own details
  • Billing notes: when the prepayment was received, the rate for extra sessions, and which services are fixed fees

The sample bills a client who is moving from classroom teaching into instructional design, for Oct 5 to Nov 13, 2026:

  • a 4-session coaching package, 520.00;
  • 2 additional 60-minute sessions at 140.00, 280.00;
  • a résumé rewrite at 350.00 and a LinkedIn profile review at 150.00, 500.00 in fixed fees.

That's a subtotal and total of 1,300.00 with tax at 0%. Less the 520.00 package prepayment, 780.00 is due on Net 14 terms. The rates are sample figures, not market rates.

Packages and prepayment

The template bills the package at its full price, then takes off what the client already paid as "Less: package prepayment". The client can see both what the package cost and that it's paid. In the sample, the 520.00 prepayment covers the package exactly, so the amount due is the extra sessions and the fixed fees. The first billing note records it: "Package prepayment of 520.00 received on Sep 28, 2026, and applied in full."

How packages work is up to you and the client. Settle these points when they book, and put them in your coaching agreement:

  • What the package includes: the number and length of sessions, and anything else, such as email support between sessions.
  • How long it lasts: whether unused sessions expire, and when.
  • Cancellations and refunds: what happens to a missed session or an unused one. Check the consumer rules where you work before you set a no-refund policy.
  • Extra sessions: the rate once the package is used up. The sample's second note says additional sessions are "billed at 140.00 each, as agreed when the package was booked".

To ask for the prepayment before the first session, send a deposit invoice or, for an advance you'll draw down over time, a retainer invoice. Once the client pays, a payment receipt confirms it.

Additional sessions and fixed fees

  • Additional sessions are priced per session. Put the dates in "Details" ("Nov 2 and Nov 9, 2026" in the sample), so the client can match each one to their calendar. If you bill by the hour instead, change the unit and the rate, or use the hourly invoice.
  • Fixed-fee services are priced as a flat fee for a defined piece of work. Say what the fee covers: the sample's résumé rewrite includes "Two drafts and a final version", and the LinkedIn review covers the "Headline, About section and experience". That way, a further round of edits is clearly new work.

Describe the work, not the outcome

The invoice lists what you did: sessions held, documents written, profiles reviewed. Keep promises about results, such as interviews or job offers, off the invoice and out of your agreement unless you can stand behind them. The client's goal on the template ("Move from classroom teaching into instructional design") records what the coaching was for, not a result you're charging for.

Sales tax

The "Sales tax, if applicable" line starts at 0%. In the Excel file it applies to the whole subtotal: the package, the additional sessions and the fixed fees. Whether coaching or résumé services are taxable depends on where you work, so check with the tax agency there, set the rate, and change the formula if only some lines are taxable.

How to fill in the template

  1. Add your business details, then the invoice number, invoice date, payment terms, due date and coaching period.
  2. Enter the client under "Bill to (client)", and their goal and package under "Coaching".
  3. Enter the package, any additional sessions with their dates, and any fixed-fee services.
  4. Set the sales tax rate, or leave it at 0%, and enter any package prepayment you've received.
  5. Edit the billing notes, replace the placeholders in "How to pay" with your own details, and send the invoice.

The PDF is a blank form for filling in by hand. The Word and Excel files have the same layout with the sample filled in, for you to overwrite.

In the Excel file:

  • each line amount is "Qty" × "Rate";
  • the fixed-fee subtotal, the subtotal, the tax, the total and the amount due are formulas, and the amount due is the total minus the package prepayment;
  • to leave out tax, set its rate to 0%; to leave out the prepayment, set it to 0.00. Don't delete those rows, because the totals refer to them;
  • the package table has one row, and the additional sessions and fixed-fee tables each have one blank row. For more lines, insert a row inside the table and copy the amount formula into it, then check that the subtotal includes it.

In Word or on the PDF, work out the amounts yourself.

For a general layout rather than a coaching one, see the invoice templates for Word, for Excel, as a PDF, for Google Docs and for Google Sheets, or browse all invoice templates.

When this isn't for you

To ask for a package payment before the first session, send a deposit or retainer invoice instead. If you bill purely by the hour from dated time entries, the hourly invoice fits better. If the client has already paid in full, give them a receipt.
