Pricing by the linear foot

Measure the gutters you cleaned and bill the total length at your rate per foot. The "Gutters" field records the whole run and the downspout count ("220 lin ft, 6 downspouts" in the sample), and the line's "Details" says which sides you cleaned. If you price some homes at a flat rate instead, enter 1 as the quantity, "job" as the unit and your price as the rate.

The two-story surcharge

"Two-story surcharge on cleaning" has its own rate cell, and it applies to the gutter cleaning only, not to downspouts or gutter guards. In the sample, 25% of 220.00 is 55.00. The sample's first note sets the terms: "Sample terms: homes with two or more stories have a 25% surcharge on gutter cleaning." For a single-story home, set the rate to 0%.

Whether you charge a surcharge, and how much, is up to you. Say so in your quote, so the customer knows before the visit.

Downspouts and gutter guards

Downspouts are billed per downspout, with what you found in "Details", such as "All 6 downspouts running clear". Gutter guards are an add-on billed by the linear foot, with where you fitted them. If the guards come with a manufacturer's warranty, fill in the note "Gutter guard warranty: [manufacturer's warranty terms, if any]", or delete it if there isn't one.

If you see damage, such as loose brackets or a sagging run, add a note about it. The customer then has a record, and you can quote the repair separately.

Licensing, insurance and sales tax

Whether you need a license, registration or insurance to clean gutters or fit guards depends on where you work, so check the rules there.

"Sales tax, if applicable" starts at 0%. In the Excel file it applies to the subtotal plus the surcharge. Whether gutter cleaning or guard installation is taxable depends on where you work, so check with the tax agency there, then set the rate.

How to fill in the template

  1. Add your business details, then the invoice number, invoice date, payment terms, due date and work order number.
  2. Enter the customer and service address under "Bill to (customer)", then the home, the gutter length and downspout count, and the service date.
  3. Enter the linear feet cleaned and your rate, the downspouts, and any gutter guards fitted.
  4. Set the two-story surcharge rate, or 0% for a single-story home, and the sales tax rate, or leave it at 0%.
  5. Edit the service notes, replace the placeholders in "How to pay" with your own details, and give the customer the invoice.

The PDF is a one-page blank form for filling in by hand. It's sized for A4 paper, so if you print on US Letter, check the scaling setting in your print dialog so the whole page fits. The Word and Excel files have the same layout with the sample filled in, for you to overwrite.

In the Excel file:

  • each line amount is "Qty" × "Rate", rounded to the cent;
  • the three section subtotals and "Subtotal" are formulas;
  • "Two-story surcharge on cleaning" is its rate × the gutter cleaning line only, the sales tax is its rate × the subtotal plus the surcharge, and the amount due adds the three;
  • to leave out the surcharge or the sales tax, set the line's rate to 0%. Don't delete those rows, because the totals refer to them;
  • the downspouts and gutter guards tables have one blank row each. The gutter cleaning table has a single row: for a second cleaning line, insert a row below it, copy the amount formula, and extend "Cleaning subtotal", "Subtotal" and the surcharge formula to include the new row.

In Word or on the PDF, work out the amounts yourself.
