Sample sales receipt (filled in, with a field guide)

A filled-in example of a sales receipt, from the business details and receipt number to the items, tax, total and payment, with a field guide in the Word and Excel files that explains what each part is.

Confirms a payment received

A filled-in sales receipt, part by part

This page has one sales receipt filled in from top to bottom, so you can see what a finished receipt looks like before you make your own. It's a sample: a small sale at a garden center, paid by card. The Word and Excel files come with a field guide that explains what each part of the receipt is for.

The sample receipt has these parts:

  • Business. Business name, address, and phone or email.
  • Receipt details. A receipt number and the date.
  • Customer. The customer's name.
  • Items. Description, qty, unit price and amount for each item sold.
  • Totals. Subtotal, "Sales tax, if applicable", total and amount paid.
  • Payment. Payment method and a payment reference.
  • Signature. "Received by", for the person who took the payment.
  • Footnote. "Thank you for shopping with us."

In the sample, Example Garden Center sells Avery Example 2 bags of potting soil at 12.99 (25.98), 3 terracotta pots at 8.50 (25.50) and 6 herb starter plants at 4.25 (25.50). The subtotal is 76.98, sales tax is 0% in the sample, and the total and the amount paid are both 76.98, by card. The receipt is GC-10457, dated Nov 7, 2026. The prices are placeholders, not market prices.

What each part is for

The field guide in the Word and Excel files covers the same 11 parts, more briefly.

  • Business. Who issued the receipt. Put the name the customer will recognize, and a way to reach you about a return or a question.
  • Receipt no. A unique number, in sequence, so you and the customer can find the receipt later. Don't reuse a number, even for a canceled sale.
  • Date. The date of the sale and the payment. If the customer paid on a different day from the sale, put the payment date and say which sale it covers in the item description.
  • Customer. Who bought the items. For a walk-in sale you can leave it out.
  • Description, Qty, Unit price, Amount. One row per item. Describe the item well enough that someone reading the receipt later can tell what it was ("Terracotta pot, 10 in." rather than "Pot"). The amount is the quantity times the unit price.
  • Subtotal. The total of the item rows, before tax.
  • Sales tax, if applicable. Tax at the rate that applies to the sale. The sample uses 0%. Whether and at what rate sales tax applies depends on where you sell and what you sell, so check with the tax agency where you sell.
  • Total. The subtotal plus tax: the full price of the sale.
  • Amount paid. What the customer paid. On a receipt for a sale paid in full, it equals the total.
  • Payment. How the customer paid, with a reference you can match to your records later, such as the last digits of a card or a transaction number.
  • Received by. The person who took the payment signs here.

Sample, blank or simple receipt?

  • This sample receipt is fully filled in, with an itemized sale and a guide to each part. Use it to see how a finished receipt reads, then replace the sample details with your own.
  • A blank receipt has every field empty, as a form to fill in by hand or on screen.
  • A simple receipt records one payment in a few lines, without an item list.
  • An itemized receipt or a sales receipt suits a sale with several items, without the field guide.

Making it your own receipt

  • Word file. Type over the sample details: your business name and address, the receipt number and date, the customer and the items. The amounts are typed, not calculated, so retype the amounts and totals when you change an item. Delete the field guide table at the end before you send the receipt. It is headed "Field guide (delete before sending)".
  • Excel file.
    • Each row's amount is qty × unit price, and the subtotal adds up the rows.
    • The tax rate sits in its own cell, "Tax rate (enter your rate)". The tax is the subtotal times that rate, and the total is the subtotal plus tax.
    • "Amount paid" is typed; enter what the customer paid.
    • There are 3 blank item rows. If you need more, insert a row above the last blank row and copy the amount formula into it, then check that the subtotal includes it.
    • Don't delete the total rows, because the formulas refer to them.
    • The field guide sits below the print area, headed "Field guide (not printed)", so it doesn't print. You can delete it once you know the layout.
  • PDF. A blank form with the same layout, to print and fill in by hand. It has no sample details and no field guide.

All three files are marked "PAID". We haven't tested these files in Word or Excel, so check the layout after you open them. Keep a copy of every receipt you issue, in receipt-number order.

Receipt or invoice?

A receipt confirms a payment you've received. If the customer hasn't paid yet, send an invoice instead; the invoice templates are a starting point. To confirm payment of a specific invoice, use the payment receipt template, which records the invoice number and any earlier payment.

Receipts in Billed

In Billed, you can send payment receipts to clients after they've paid their invoices (features), and record payments you receive offline, such as cash or checks (accept payments).

What's included in this receipt template

Receipt What it's for
Sample (this page) Filled-in example with a guide
Blank Every field empty
Simple One payment, no item list
Itemized or sales Several items, no guide

When this isn't for you

If you want an empty form, use the blank receipt. If you're recording a single payment without items, the simple receipt is shorter. If the customer hasn't paid yet, send an invoice. If you're confirming payment of a specific invoice, use the payment receipt.
