No credit card required.

Quick answer:This page has a free towing service invoice. It records the towing company, a call number, the account being billed with an authorization number, the vehicle (year, make and model, a VIN placeholder, plate and fleet unit) and the tow details: date and times, pickup and drop-off locations and the reason for the tow. It bills a hook-up fee and towing miles at a rate per mile, recovery work such as winching and an after-hours call, and storage days at a daily rate, then adds any sales tax from a rate you enter and shows the amount due. Rates and storage terms are business terms you set, and towing and storage charges can be limited by rules where you work. It comes as a blank print-and-fill PDF and as Word and Excel files filled with sample values.

Towing service invoice

An invoice for a tow: the vehicle with a VIN placeholder, the pickup and drop-off locations, a hook-up fee, towing miles at a rate per mile, winching and an after-hours call, storage days at a daily rate, a tax rate cell and the amount due.

A request for payment — shows the amount due

What this towing invoice is for

This template is for a towing company billing for a tow after the job is done. The sample bills a fleet account for a late-evening tow of a cargo van that wouldn't restart on the highway shoulder: a hook-up, 23 miles to the fleet's service center, some winching to get the van off a soft shoulder, an after-hours call, and two days of storage.

The towing service invoice has:

  • Towing company: business name, address, phone or email, and License or permit no., with the placeholder "[License or permit no., if required where you work]".
  • Invoice details: invoice number, invoice date, payment terms, due date and a Call no. for the dispatch.
  • Bill to (account): company, attention line, address, account number and Authorization no.
  • Vehicle: year, make and model; VIN, as the placeholder "[VIN]"; license plate; and fleet unit number.
  • Tow details: date and times (dispatched and cleared), pickup location, drop-off location and the reason for the tow.
  • Towing: a table with Item, Details, Qty, Unit, Rate and Amount for the hook-up fee and mileage, with a "Towing subtotal".
  • Recovery and after-hours: the same columns for winching and the after-hours call, with a "Recovery and after-hours subtotal".
  • Storage: storage days at a daily rate, with a "Storage subtotal".
  • Totals: Subtotal, "Sales tax, if applicable" and Amount due.
  • How to pay: accepted methods, placeholders for the account name and bank details, and a payment reference quoting the invoice and call numbers.
  • Tow notes: who requested the tow and how, the sample storage terms, and a reminder to check the rules where you work.

It comes as three files:

  • PDF: a one-page blank form to print and fill in by hand, with a blank for the tax percentage.
  • Word (.docx) and Excel (.xlsx): the same layout filled with sample values for you to overwrite.

In the Excel file, each line's Amount is Qty × Rate rounded to the cent. The Towing table has one empty row; the Recovery and after-hours and Storage tables have no empty rows. The three section subtotals and the Subtotal are formulas. "Sales tax, if applicable" has a rate cell (0% in the sample) applied to the whole Subtotal, and the Amount due is the Subtotal plus the tax. The file's tip says: to leave out the sales tax, set its rate to 0%, and don't delete the rows, because the totals refer to them. In the Word file the tax line shows its rate in the label ("(0%)"), so update both if you change it.

The sample adds up like this:

  • Towing: hook-up fee $95.00, plus 23 miles × $4.50 = $103.50, for $198.50.
  • Recovery and after-hours: 0.5 hour of winching × $150.00 = $75.00, plus a $50.00 after-hours call, for $125.00.
  • Storage: 2 days × $35.00 = $70.00.
  • Subtotal and amount due: $393.50, with sales tax at 0%. The invoice is dated Nov 12, 2026 on Net 15 terms, so it's due Nov 27, 2026.

These figures only show how the form works. They are not typical or permitted rates.

Describing the vehicle and the tow

  • Fill in the vehicle so the customer can match the invoice to their records: year, make and model, plate and, for a fleet, the unit number. The VIN is a placeholder; copy it from the vehicle or its paperwork.
  • Record the tow itself: when you were dispatched and cleared, where you picked the vehicle up, where you dropped it, and why it was towed.
  • Quote the references the payer uses. The sample bills a fleet account and has an Authorization no. field. If a fleet, motor club or insurer is paying, ask which reference it needs and put it there. The payment reference asks for both the invoice and call numbers.

Hook-up, mileage, recovery and storage

These are business terms you set, and the template doesn't suggest any rates.

  • Hook-up fee: one line per tow, with the equipment in Details (the sample says "Light duty, wheel-lift").
  • Mileage: miles × your rate per mile. Say in Details which miles you count; the sample counts "Pickup to drop-off".
  • Recovery and after-hours: winching by the hour (the sample bills 0.5 hour) and a call-out charge for after-hours work, each on its own line so the customer can see why the job cost more than a standard tow.
  • Storage: days × your daily rate, with the dates in Details. The sample's notes are marked "Sample terms": storage "is charged per calendar day from the day the vehicle arrives until it is released". Write your own terms on the invoice and in any agreement.

Rules on towing charges

Rules on towing and storage charges vary by jurisdiction. They can limit what you charge for a tow or for storage, and they can treat tows the vehicle owner didn't request differently from ones they did. The sample's notes say: "Towing and storage rates can be limited by rules where you work; check them before you bill." This template doesn't state any limits, so check the rules where you work before you set your rates and send the invoice. The License or permit no. field is a placeholder for the same reason; fill it in if a license or permit number is required where you work.

Sales tax works the same way. Whether towing, recovery or storage is taxable, and at what rate, depends on the rules where you work, so check them and enter the rate.

What's included in this invoice template

This invoice Auto repair invoice Car rental receipt
For Towing, recovery and storage Repairs to a vehicle A returned rental vehicle
Charges Hook-up, miles, winching, after-hours, storage days Parts and labor Rental charges, taxes, deposit hold
Sent After the tow After the repair When the vehicle is returned

When this isn't for you

If you're quoting a tow before the work, an estimate fits better than an invoice. If a motor club or insurer requires its own billing process, use that. And if your dispatch software already issues invoices, use it so your call records and invoices match.
