The PDF is a blank invoice to print and fill in by hand. The Word and Excel files contain the sample details shown in the preview, ready for you to replace with your own. In the Excel file, each line amount is a formula: "Qty" × "Rate". The section subtotals, subtotal, tax, pass-through costs, total and amount due are formulas too. The amount due is the total minus the deposit received. The tax rate sits in its own cell, so you can change it.

Videography project invoice

An invoice for a video project: pre-production, shoot days at a day rate, editing hours and social cuts, music and stock footage licensed at cost after the tax line, a usage placeholder, the deposit already received and the amount due.

A request for payment — shows the amount due

What this videography invoice is for

This template bills a client for a video project from planning to delivery: pre-production, shoot days for your crew at a day rate, editing hours and short cuts, and the music and stock footage you licensed for the project at cost, less the deposit the client paid.

The videography invoice has:

  • Videographer: business name, address, and phone or email.
  • Invoice details: invoice no., invoice date, payment terms, due date and project no.
  • Bill to (client): company, attention and email.
  • Project: the project, the shoot dates, and a "Usage" field that's a placeholder for the usage terms you agreed.
  • Pre-production, Shoot days and Editing: tables with Item, Details, Qty, Unit, Rate and Amount, with a "Pre-production subtotal", a "Shoot subtotal" and an "Editing subtotal".
  • Music and stock footage, licensed at cost: the same columns, for the licenses you bought for the project.
  • Totals: Subtotal, "Sales tax, if applicable", "Music and stock footage, licensed at cost", Total, "Less: deposit received" and Amount due.
  • How to pay: accepted methods, account name, bank details and a payment reference.
  • Project notes on the deposit, the edit rounds and the licenses.

It comes as three files:

  • Word (.docx) and Excel (.xlsx): filled with a sample invoice for you to overwrite.
  • PDF: a blank form to print and fill in by hand, with a blank for the tax rate. It runs to two pages; the totals, payment details and notes are on page 2. It's sized for A4 paper, so if you print on US Letter, check the scaling setting in your print dialog.

The sample invoice

The sample is invoice VF-0519 from Example Frame Films to Example Fitness Studio, for a 90-second brand video and 3 social cuts, shot on Nov 10 and Nov 11, 2026. It's dated Nov 24, 2026 on Net 15 terms, due Dec 9, 2026.

  • Pre-production: a creative brief and shot list with a script outline in 2 rounds, as a package (600.00), and 3 hours of location scouting at 75.00 (225.00), for a pre-production subtotal of 825.00.
  • Shoot days: 2 shoot days for a crew of 2, with camera, lighting and audio, at 1,400.00 a day (2,800.00).
  • Editing: 16 hours of editing, color and sound mix for the brand video at 85.00 (1,360.00), and 3 social cuts of 15 to 30 seconds at 150.00 (450.00), for an editing subtotal of 1,810.00.
  • Music and stock footage: a music track license for web and social (149.00) and 2 aerial stock footage clips at 79.00 (158.00), 307.00 in all.

The subtotal is 5,435.00. Sales tax is 0.00 at the sample's 0% rate, and the licenses add 307.00, so the total is 5,742.00. Less the 2,500.00 deposit, the amount due is 3,242.00. All prices are sample values, not suggested rates.

Pre-production and shoot days

Bill planning as its own table, so the client sees what happened before the camera rolled: a brief and shot list as a package, and scouting by the hour. Bill shoot days at your day rate, with the crew and equipment in Details ("Camera, lighting and audio"), so the day rate shows what it covers.

Editing and cuts

Bill editing by the hour, with what you delivered in Details, such as "90-second brand video". Short versions for social media can go on their own line per cut. The sample's note sets out the edit rounds: "Sample terms: two rounds of edits are included; further changes are billed at 85.00 an hour." Replace it with your own terms.

Music and stock footage at cost

License any music you use. Bill music and stock footage licenses in "Music and stock footage, licensed at cost" at what they cost, with the license scope in Details, such as "1 track, web and social". In the Excel file, this table is added after the sales tax line, outside its base. The sample's note says: "Music and stock footage are billed at what the licenses cost, for the usage shown above."

Deposit

"Less: deposit received" takes off what the client paid before the shoot, and the sample's note records it: "Deposit of 2,500.00 received on Oct 30, 2026, to book the shoot dates." How much deposit you take is a term of your contract with the client. If no deposit was paid, set the line to 0.00.

Copyright and usage (US)

The "Usage" field is a placeholder: set out in your contract where and how the client may use the video, such as web and social, and refer to it on the invoice. What US copyright law says:

  • Who owns the video. "Copyright in a work protected under this title vests initially in the author or authors of the work" (17 U.S.C. § 201(a), copyright.gov).
  • Work made for hire. Circular 30 (copyright.gov) lists "a part of a motion picture or other audiovisual work" among the kinds of specially ordered or commissioned work that can be a work made for hire, and only if both parties expressly agree to it in a written document they both sign. As the circular puts it, "If a work fails to satisfy any of these requirements, it is not a work made for hire."
  • Transfers are in writing. Under § 204(a), a transfer of copyright ownership "is not valid unless an instrument of conveyance, or a note or memorandum of the transfer, is in writing and signed by the owner of the rights conveyed or such owner's duly authorized agent". Section 101 (copyright.gov) counts an exclusive license as a transfer of copyright ownership, but not a nonexclusive license.

Outside the US, check the law where you work. This page isn't legal advice.

How this differs from the photography invoice

The photography invoice bills a photo session: coverage hours, edited images beyond those the session includes, and prints by size and paper, less a retainer. This videography invoice bills a project: pre-production, shoot days at a day rate for a crew, editing hours and social cuts, and music and stock footage licensed at cost after the tax line, less a deposit. The creative invoice bills a creative project in three stages, concept, production and revisions, and has no table for licenses at cost.

Sales tax

In the Excel file, "Sales tax, if applicable" applies its rate to the Subtotal: pre-production, shoot days and editing. The music and stock footage licenses are added after the tax line. That's how the file is built, not a statement about what is taxable. Whether video services or licenses are taxed, and how, depends on where you work, so check the rules there before you set the rate, or change the formula to match.

Filling in the figures

In the Excel file:

  • Each line amount is Qty × Rate, rounded to the cent, and the pre-production, shoot and editing tables each have their own subtotal.
  • Each of the four tables has one blank row at the end. To add more lines, insert rows above the last item row of a table so its total includes them, then copy the amount formula down.
  • The Subtotal adds pre-production, shoot days and editing. "Sales tax, if applicable" is the Subtotal × the rate in its own cell, and "Music and stock footage, licensed at cost" adds the licenses table.
  • The Total is the Subtotal + the tax + the licenses. You type the deposit, and the Amount due is the Total less the deposit.

The file's tip says: "To leave out "Sales tax, if applicable", set its rate to 0%; to leave out "Less: deposit received", set it to 0.00. Don't delete these rows: the totals refer to them."

In the Word file, the amounts are typed, not calculated, so retype them when you change a figure. The PDF is blank, so fill in every amount and the tax rate by hand. We haven't tested the files in Excel or Word.
