Quick answer:This page has a free plumbing payment receipt for confirming that a client has paid a plumbing invoice. It shows the plumbing contractor’s details, a receipt number and date, who paid, the job address, work order number and work performed, a table naming the invoice paid (Invoice no., Invoice date, For, Invoice total), and totals with "Amount invoiced", "Paid earlier (deposit)", "Amount paid now" and "Balance after this payment". The payment block records the method, a check number or reference and the date received, and there is a "Received by" line. The receipt is marked PAID. It pairs with the plumbing estimate, written before the work, and the plumbing invoice, which asks for payment.

Plumbing payment receipt

A receipt confirming payment of a plumbing invoice: the job and work performed, the invoice number, date and total, the deposit paid earlier, the amount paid now with the method and reference, and a balance of 0.00.

Confirms a payment received

What's on the plumbing receipt

The plumbing payment receipt confirms that a client has paid a plumbing invoice. It has:

  • Plumbing contractor: your Business name, Address and Phone / email.
  • Receipt details: Receipt no. and Receipt date.
  • Received from: the Client name and Address.
  • Job: the Job address, Work order no. and Work performed.
  • Invoice table: Invoice no., Invoice date, For and Invoice total, for the invoice being paid.
  • Totals: Amount invoiced, Paid earlier (deposit), Amount paid now and Balance after this payment.
  • Payment: Payment method, Check no. / reference and Date received.
  • A Received by line, and the footnote "This receipt confirms payment in full of the invoice listed above."

The receipt is marked PAID. It comes as three files:

  • PDF: a blank form to print and fill in by hand.
  • Word (.docx) and Excel (.xlsx): the same layout filled with sample details. Overwrite them with your own.

In the Excel file, Amount invoiced picks up the Invoice total. Balance after this payment is the Amount invoiced less Paid earlier (deposit) and Amount paid now, which you type in. The table has one row, for the invoice being paid, so write a separate receipt for each invoice.

The sample follows one job from estimate to receipt

The sample is the last step of one plumbing job that runs through three templates:

  1. The plumbing estimate prices replacing a leaking water heater and repairing a dripping shower valve, at an estimated total of 2,358.50.
  2. After the work on Nov 11, 2026, the plumbing invoice PI-2235, dated Nov 13, 2026, bills 2,358.50. It takes off the 500.00 deposit received and asks for 1,858.50.
  3. This receipt, PR-1147, dated Nov 20, 2026, records the check for 1,858.50. It lists invoice PI-2235 in the table, so Amount invoiced is 2,358.50, Paid earlier (deposit) is 500.00, Amount paid now is 1,858.50, and the Balance after this payment is 0.00.

The work order number, WO-2207, appears on both the invoice and the receipt, so either one leads back to the job.

What a paid receipt proves that the invoice doesn't

The invoice says what the client owes and when it's due. The receipt says the client paid: how much, on what date and by what method, against which invoice. The client keeps it as proof that the invoice is settled, and you keep a copy as your record of the payment.

Give the receipt when the payment arrives, and keep it with the invoice and the work order. If you invoice in Billed, which publishes this page, you can also record offline payments, such as checks and cash, so your payment records stay in one place.

Deposits and part payments

  • A deposit paid before the work. The Paid earlier (deposit) line shows it, so one receipt shows the invoice settled in full. If you gave a separate receipt for the deposit, note its number or date in the work performed line.
  • Part of the invoice paid. If the client pays only part of the amount due, the balance won't be 0.00, and the footnote saying "payment in full" wouldn't be true. Use the partial payment receipt on the Excel receipt template page instead. It shows the agreed total, payments to date and the balance remaining.
  • Asking for a deposit first. To request a deposit before the job, send a deposit invoice.
  • Other kinds of payment. For a general layout tied to one invoice, see the invoice payment receipt. For a sale with each item listed, use an itemized receipt.

How to fill in the plumbing receipt

  1. Receipt no. and Receipt date. Number receipts in one sequence and never reuse a number.
  2. Received from. Enter the client who paid, as named on the invoice.
  3. Job. Enter the job address, your work order number if you use one, and a short line on the work performed with its date.
  4. Invoice table. Copy the invoice number, invoice date, a short description and the invoice total from the invoice being paid.
  5. Totals. Enter any deposit paid earlier and the amount paid now, and check that the balance reads 0.00.
  6. Payment. Record the method, a reference such as a check number or the last four digits of a card, and the date you received the money. Never write a full card or bank account number.
  7. Received by. Sign it, and give the client the original.

Keeping records

Keep each receipt with its invoice and work order, in receipt-number order. In the US, the IRS lists "receipt books" and invoices among the documents that support a business's gross receipts (IRS: What kind of records should I keep). It says you generally must keep records that support income on your tax return until the period of limitations for that return runs out, which generally means 3 years, and longer in some cases (IRS: How long should I keep records). Outside the US, check with your tax authority.

For the client, the receipt and invoice together record when the work was done, what was installed and what was paid. If a water heater or fixture came with a manufacturer's warranty, keeping them with the warranty papers puts the install date and installer in one place. Licensing, permit and warranty rules for plumbing work depend on where the work is done, so check the rules there.
