Free Carpet Cleaner Invoice Template

The carpet cleaning invoice bills a customer for a cleaning visit you've finished. It has:

• Carpet cleaning company: your Business name, Address and Phone / email.
• Invoice details: Invoice no., Invoice date, Payment terms, Due date and Work order no.
• Bill to (customer): Customer name, Service address and Phone / email.
• Visit: Service date, Carpet and Method.
• Two priced sections: Rooms and areas and Treatments and add-ons. Each has the columns Item, Details, Qty, Unit, Rate and Amount, its own subtotal, and one blank row.
• Totals: Subtotal, Sales tax, if applicable and Amount due.
• How to pay and Service notes.

It comes as three files:

• PDF: a one-page blank form to print and fill in by hand, with a blank for the tax rate. It's sized for A4 paper, so if you print on US Letter, check the scaling setting in your print dialog so the whole page fits.
• Word (.docx) and Excel (.xlsx): the same layout filled with sample details. Overwrite them with your own.

In the Excel file:

• each line's Amount is Qty × Rate, rounded to the cent;
• the Rooms and Add-ons subtotals and the Subtotal are formulas;
• "Sales tax, if applicable" is the Subtotal × its rate cell (0% in the sample), and Amount due is the Subtotal plus the tax;
• the file's tip says: to leave out the sales tax, set its rate to 0%, and don't delete these rows, because the totals refer to them.

In the Word file the tax line shows its rate in the label ("(0%)"), so update it if you change the rate. In Word or on the PDF, work out the amounts yourself.

The sample is invoice CC-2290 for nylon wall-to-wall carpet cleaned by hot water extraction on Nov 18, 2026:

• Rooms and areas: the living and dining room, 420 sq ft at 0.30, 126.00; 3 bedrooms at 40.00 a room, 120.00; 14 stairs at 3.00 a step, 42.00; for 288.00.
• Treatments and add-ons: a pet odor treatment in the living room, 35.00; spot and stain removal in bedroom 2, 15.00; carpet protector on the 420 sq ft living and dining room at 0.15, 63.00; for 113.00.
• Subtotal and amount due: 401.00, with sales tax at 0%. The terms are "Due on completion", so it's due on Nov 18, 2026.

These figures only show how the form works; they aren't typical rates.

Bill stain and odor treatments as their own lines in Treatments and add-ons, with where they were applied in Details. Carpet protector goes there too, priced by the square foot like the area it covers.

The sample's notes include "Sample terms: a minimum charge of 99.00 applies to each visit." The sample job comes to more than that, so no extra line is needed. If a job comes to less than your minimum, add a line for the difference, or bill the minimum as one line, so the total matches what you told the customer. Replace the sample terms with your own.

The notes also hold "Allow [drying time] before heavy foot traffic on the cleaned carpet"; fill in the drying time you give your customers.

The Sales tax, if applicable line applies its rate to the whole Subtotal, rooms and add-ons together. Whether carpet cleaning is taxable depends on where you work, so check the rules there before you set a rate.

Set the Payment terms and Due date to what you agreed. "Due on completion" is only the sample. To let customers pay online, send the invoice from Billed, which publishes this page.
