What should a home service invoice include?

Your business details, an invoice number and date, payment terms and a due date, the customer's name and address, and the job: service address, service date, the equipment and the problem reported. Then list the call-out fee, the labor with hours and rate, and the parts with quantity and unit price, followed by the subtotal, any tax and the amount due.

How do I bill a call-out fee?

Put it in its own table as one line, for example 1 visit × your call-out rate, so the customer can see it apart from the repair. If you waive it when the customer goes ahead with the work, set its rate to 0.00 and note that in the service notes.

Should parts and labor be listed separately?

Yes. This invoice has separate labor and parts tables, each with a subtotal, so the customer can see what was time and what was parts. It also lets the sales tax line apply to the parts only.

Do I charge sales tax on parts and labor?

It depends on where you work, so check the rules where you work. In this template the tax line covers the parts table only and is set to 0%. If labor or the call-out fee is taxable too, change the tax formula in the Excel file to include those rows.

Do I need to put my license number on the invoice?

Use this invoice after a service call at a customer's home when you charge to come out, bill your time by the hour and list the parts you fitted. If your trade has its own invoice, that one fits better: the handyman invoice bills small tasks at a set price with a trip fee and a deposit, the plumbing invoice adds a permit fee passed through at cost and a deposit, the HVAC invoice records the make, model and serial number of the system and takes off a maintenance plan credit, and the electrician invoice is for electrical work.

The invoice is titled SERVICE INVOICE and has these parts:

Bill to (customer): customer name, address, and phone or email.
Job: service address, service date, the equipment, the problem reported and the technician.

How the sample adds up

The sample bills a garage door spring repair:

Call-out: a weekday daytime visit, 1 × 79.00 = 79.00.
Labor: replacing both torsion springs (1.5 hours), replacing the rollers and lift cables (1 hour), and a safety check and lubrication (0.5 hours), 3 hours at 95.00 = 285.00.
Parts: a pair of torsion springs 128.00, 10 nylon rollers at 6.50 = 65.00, and a pair of lift cables 36.00, for 229.00.
Subtotal: 79.00 + 285.00 + 229.00 = 593.00.
Sales tax on parts: 0% in the sample, so 0.00.
Amount due: 593.00.

In the Excel file, each amount is Qty × Rate rounded to the cent, the subtotal adds the three tables, the tax line multiplies the parts total by the rate in its rate cell, and the amount due is the subtotal plus the tax. To leave out the tax line, set its rate to 0% rather than deleting rows, because the totals refer to them. In the Word file the rate shows in the label ("0%" in the sample), and the PDF has a blank for it.

Call-out fees, labor and parts

The call-out fee covers the visit itself. If you waive it when the customer goes ahead with the repair, set its rate to 0.00 and say so in the service notes, so the customer sees it was waived and not left off.

Give each task its own labor line with the hours spent, so the customer can match the time to the work. List parts one per line with the quantity, unit and unit price; the parts subtotal is also the amount the tax rate applies to.

Sales tax, licenses and warranties

Whether parts, labor or call-out fees are taxable depends on where you work, so check the rules where you work. The tax line covers the parts table only. If labor or the call-out fee is taxable too, change the tax formula in the Excel file to include those rows.

The license number field reads "[License no., if required where you work]". Whether your trade needs a license, and whether the number must appear on invoices, also depends on where you work. The warranty line in the service notes is a sample term; replace it with your own.
